About the Role
We’re looking for a Senior Research Operations Manager who thrives on chasing down the impossible-to-find, connecting with people, and making research operations hum behind the scenes.
This is not your typical ops job - it’s an experimental, hands-on role at the heart of how we do impactful research. Around 75% of your time will be spent recruiting high-caliber participants, often B2B professionals and decision-makers who don’t just hang out on panels. You’ll get creative, stretch into non-traditional channels, and build processes that scale and flex with our team’s needs.
The rest of your time will go into maintaining our tools and digital workspaces, and providing light-touch admin support - keeping things smooth, organized, and friction-free.
If you come from research ops, B2B sales, casting, production, or community building, and you get a rush from finding just the right person, we want to talk to you.
You Might Be a Fit If…
You love the challenge of finding the unfindable - and feel genuinely excited when you land that perfect recruit.
You’re equal parts scrappy and organized - able to improvise when needed, but keep the back-end clean and scalable.
You enjoy working in the background to help a team shine.
You have a natural curiosity about people and processes, and you’re always asking: How can I make this smoother?
Responsibilities:
- 🔍 Participant Recruitment & Management (75% of your time)
Your primary focus will be sourcing, recruiting, and managing participants across a variety of research projects. You will work closely with researchers and stakeholders to ensure recruitment efforts align with study goals and timelines. This includes:
- Actively collaborating with the research team to define participant profiles, screening criteria, and recruitment strategies at the start of each study.
- Identifying and reaching out to potential participants across diverse user groups.
- Screening candidates to ensure they meet study criteria and quality standards.
- Coordinating and scheduling sessions across multiple time zones, managing communication and logistics end-to-end.
- Handling participant incentives, consent forms, and follow-up communication with care and professionalism.
- Maintaining and optimizing participant databases, recruitment pipelines, and tracking tools to support ongoing research needs.
Many of our research studies involve B2B participants - decision-makers, professionals, and niche roles that can be hard to reach. This type of recruiting demands creativity, determination, and the ability to think outside traditional channels. You’ll often need to try unconventional approaches, chase down leads, and keep pushing when others might give up. If you get a little endorphin rush when a hard-to-find participant confirms, you’ll thrive here.
🏢 Workspace & Tools Support (15%)
You’ll ensure that our digital research environments are efficient, organized, and researcher-friendly. This includes:
- Maintain and optimize digital research tools (e.g., scheduling platforms, CRM systems, panel tools).
- Own and organize our internal research knowledge systems - ensuring that research documents, templates, playbooks, and findings are easy to access, up to date, and well-structured.
- Keep shared research resources tidy, version-controlled, and researcher-friendly.
- Act as a go-to support person when the team needs help accessing or navigating internal tooling.
🗂️ Administrative Support (10%)
You’ll assist with light-touch administrative tasks related to contractor onboarding and financial processes. This includes:
- Supporting documentation and coordination for external contractors.
- Helping track invoices and participant payments.
- Collaborating with finance or legal teams when needed.
What We’re Looking For! 🌟 Must-Haves
- 3+ years of experience in participant recruitment, talent outreach, lead generation, or similar
- A knack for finding hard-to-reach people - especially in B2B, professional, or niche communities
- Comfortable with cold outreach, following leads, and getting creative with how you connect with the right individuals
- Organized and confident managing multiple timelines, tools, and conversations at once
- Friendly, professional communicator - someone who brings empathy and clarity to every interaction
- Experience working in collaborative teams and supporting others operationally
💡 Traits & Soft Skills
- Creative problem-solver—you’re excited to try unconventional strategies to find the right people
- Resilient and self-driven—you don’t stop when the inbox is cold or the lead is elusive
- Detail-oriented in execution, but comfortable with ambiguity and experimentation
- Friendly, fast communicator—great at building trust with participants, teammates, and stakeholders
- Team-oriented, with a “how can I help?” attitude toward making research run smoothly
1. Participant Recruitment & Management
- Proven experience recruiting hard-to-reach audiences - especially B2B decision-makers, niche professionals, or expert users
- This experience may come from research recruitment, B2B sales prospecting, casting/talent production, or community building
- Strong hunter mindset: creative, persistent, and strategic in how you find and engage the right people
- You enjoy digging, experimenting with channels, writing compelling outreach, and building rapport quickly
- Skilled in qualifying leads/participants through structured criteria or discovery calls
- Comfortable scheduling across time zones, managing communications and follow-ups in a polished, human way
- Experience managing participant or lead databases, pipelines, and tracking tools
- Familiarity with incentivization and consent processes (or equivalent in sales, events, or casting contexts)
2. Digital Workspace & Tools Support
- Experience maintaining tools such as Calendly, UserInterviews, RespondentIO, Monday.com, or other participant CRM systems
- High level of digital organization - capable of keeping systems, templates, and shared folders tidy and version-controlled
- Comfortable supporting researchers with tooling questions, access issues, and workflow improvements
- Familiarity with organizing internal knowledge systems like Confluence, Notion, or Google Drive
3. Administrative & Financial Support
- Experience coordinating with contractors or vendors (e.g., collecting documentation, onboarding materials, NDAs)
- Basic familiarity with invoice tracking, participant payments, and coordination with finance or legal teams
- Comfort navigating compliance processes lightly and professionally (e.g., ensuring proper documentation and approvals)
*Flexible Backgrounds Welcome
- We value people who are great at finding and connecting with the right humans, regardless of industry. Experience may include:
- User research recruitment (especially niche or B2B audiences)
- B2B lead generation or outbound sales
- TV/media production or casting
- Community management or events with a strong outreach component
- Freelance producer or coordinator roles with fast-paced logistical demands
Nice to have:
- Experience in remote-first teams or fast-paced environments with evolving priorities
