Independent Contractor – Bilingual Executive & Project Support VA - Business Support VA - Senior to Advanced Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A construction and renovation company is seeking a detail-oriented Virtual Assistant to support sales, client communication, and project coordination. The role includes managing leads, scheduling, order tracking, and light bookkeeping, with a focus on keeping projects organized and on schedule through Jobber CRM.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

  • Sales & Lead Management

- Prequalify incoming leads from various sources and enter into Jobber CRM

- Follow up with leads and schedule estimates for the operations department

- Enter estimates into Jobber, send to clients, and track responses until signed

- Support the owner by handling manual lead nurturing and early-stage client communication

  • Project & Operations Support

- Issue work orders, schedule jobs, and coordinate with contractors/subcontractors

- Track project timelines, deliverables, and deadlines proactively

- Notify clients about scheduling changes, delays, or weather-related adjustments before issues arise

- Place orders with suppliers and ensure material deliveries are on time

  • Administration & Bookkeeping Support

- Assist with employee time tracking for payroll

- Maintain records of expenses and organize supporting documentation

- Provide light bookkeeping support (QuickBooks experience a plus)

  • Executive & Personal Support

- Assist the owner with personal administrative tasks as needed

- Handle general executive assistant responsibilities to free up the owner’s time for mentoring, PR, and growth initiatives

- Research and leverage AI tools to optimize efficiency in daily operations

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Prior experience working with construction, renovation, or contractor businesses required
  • Experience as a VA, project coordinator, or operations support role
  • Proficiency with Jobber CRM (preferred)
  • Knowledge of project management tools (Trello, Asana, ClickUp, etc.)
  • Comfortable making outbound calls with strong, confident communication skills
  • Highly organized, proactive, and detail-oriented
  • Bilingual (Spanish & English)
  • Ability to work independently with minimal supervision, bringing expertise to the table without requiring heavy handholding
  • APPLICATION SOFTWARE KNOWLEDGEABLE/REQUIRED:

- Jobber CRM (preferred)

- Project management tools (Trello, Asana, ClickUp, or similar)

- Microsoft Office Suite or Google Workspace

- QuickBooks, Xero, or similar bookkeeping tools (a plus)

Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
  • Daily Working Time: 7 to 3, 830 to 430, 10 to 6 or 11 to 7 EST (depending on the season)

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
