People System & Operations Specialist

🇦🇺 Australia - Remote
👥 Human Resources🔵 Mid-level

Job description

Who We Are

Healthcare needs a better rhythm: one that keeps care continuous and deeply human. Heidi is building an AI Care Partner that works alongside clinicians to make that possible.

We’re a team of doctors, engineers, designers, researchers, and creatives building tools that help clinicians stay focused on what matters most: their patients.

In just 18 months, Heidi has given back more than 18 million hours to healthcare professionals — supporting 73 million patient visits in 116 countries. Today, more than two million patient visits each week are powered by Heidi worldwide.

Backed by nearly $100 million in funding, we’re growing in the US, UK, Canada, and Europe, partnering with leading health systems including the NHS, Beth Israel Lahey Health, and Monash Health.

What You’ll Do

  • Own and continuously improve our Talent Acquisition (TA) Application Tracking Systems (ATS), ensuring best-in-class functionality, data integrity, globally compliant and best in class user experience for all

  • Act as the primary system administrator for People Tech systems—including our TA platforms and future HR technology stack—delivering seamless integrations and process automation

  • Drive projects focused on first-in-class recruitment operations, reporting, and tech optimisation to deliver data-driven insights for the People team

  • Lead and/or support change management initiatives, ensuring new TA or People Tech processes are adopted and enabling successfully across the business

  • Partner with stakeholders to understand hiring needs, delivering solutions that scale with growth, optimise candidate experience, and enable better hiring decisions

  • Identify opportunities for system and process enhancement and champion initiatives to improve the effectiveness and efficiency of both internal and external users

  • Collaborate with cross-functional teams—including IT, Legal, People & Culture, Security, hiring teams, and external vendors—to deliver key system and process improvements

What We’re Looking For

  • 2+ years of experience in recruitment operations, with hands-on expertise maintaining and optimising TA systems (e.g., Ashby, Greenhouse, Workday, SmartRecruiters, Lever, etc.)

  • Proven ability to manage programs and projects within People Tech, demonstrating sound technical skills and a knack for problem-solving

  • Experience with change management: driving technology or process changes to successful adoption across teams

  • Strong stakeholder management skills—able to communicate technical concepts to non-technical audiences and build collaborative relationships across levels

  • Comfort with data and reporting; able to analyse, interpret, and present information that shapes talent decisions

  • An agile, curious mindset, open to learning new tech systems and contributing across other People/HR Tech domains as the business evolves

  • Effective at balancing high standards with pragmatic delivery in a fast-growth, high-impact environment

  • Attitude is more important than experience—if you are a competitive, highly motivated operator with a hunger to continuously grow and build strong relationships, we want to hear from you

The Way We Work

  1. Build to Last

We design for safety and reliability so clinicians, patients, and our teams can trust what we build every day.

  1. Own Your Practice

Ideas rise on merit, not title, and everyone shares responsibility for the standards we set together.

  1. Move Fast, Stay Steady

We move quickly but never at the cost of trust. Progress only matters if people can depend on what we make.

  1. Make Others Better

Honest feedback, steady support, and shared growth keep our teams improving together.

Why You Will Flourish With Us

  • Flexible hybrid working environment, with 3 days in the office

  • A generous personal development budget of $500 per annum

  • Learn from some of the best engineers, operators, and creatives—joining a diverse and supportive team

  • Become an owner, with shares (equity) in the company; if Heidi wins, we all win

  • The rare chance to create a global impact as you immerse yourself in one of Australia’s leading healthtech startups

  • If you have an impact quickly, the opportunity to fast track your startup career!

Heidi is dedicated to creating an equitable, inclusive, and supportive work environment that brings people together from diverse backgrounds, experiences, and perspectives. Our strength is in our differences. We’re proud to be an equal opportunity employer and welcome all applicants as we’re committed to promoting a culture of opportunity for all.
