Job Description: The Purchasing Associate is a support role on our purchasing team, helping ensure that inventory and supplies are ordered, received, and accurately maintained in our systems. You’ll work closely with our purchasing team and other departments to keep information up to date, assist with order tracking, and support daily purchasing activities.
This is a great role for someone who is detail-oriented, organized, and eager to grow within purchasing.
Job Responsibilities:
Create purchase orders based on direction from the purchasing team.
Enter order confirmations, tracking numbers, lead times, and updated supplier information into our NetSuite ERP system.
Maintain accurate item data, including cost updates, vendor details, and delivery timelines.
Monitor open purchase orders and follow up with suppliers for shipment status or missing information.
Track estimated receipt dates and communicate updates to the purchasing team and relevant stakeholders.
Assist with reconciling discrepancies related to receipts, quantities, or order documentation.
Help coordinate inbound shipments with our logistics partners.
Assist with scheduling deliveries and ensuring internal teams are informed of expected arrivals.
Organize files, quotes, receipts, and vendor communications.
Assist Accounts Payable with invoice matching and gathering missing documentation.
Support the purchasing team with basic research and information gathering.
Communicate professionally with vendors for basic inquiries such as order confirmations, lead times, or documentation requests.
Help maintain positive working relationships with suppliers through clear and timely communication.
Job Qualifications:
1–2 years of administrative, inventory, warehouse, or purchasing support experience preferred.
Experience with ERP or inventory systems is helpful (NetSuite experience is a plus, but not required).
Comfortable using GSuite (Gmail, Sheets, Docs) and basic Excel/Sheets functions.
Ability to manage a high volume of administrative work and be conscientious, detail oriented, and diligent in accomplishing duties and responsibilities.
Ability to efficiently generate spreadsheet information and summarize data into readable and actionable reports.
Commitment to excellence and high standards.
Must be able to work with a minimum of supervision.
Must be able to work autonomously as well as part of a geographically distributed team.

We are looking to fill a position effective immediately, working 40 hours per week. Must be available to work a hybrid schedule, maintaining in-office presence at our Chattanooga location on core days (T-Th) at minimum. Some work outside of normal business hours will be required. Occasional travel to other iFixit locations in San Luis Obispo, CA and/or Stuttgart, Germany will be required for training and development.
