Job Description:
We are seeking a proactive, highly organized, and tech-savvy Executive Assistant to support our coaching team. This role goes beyond traditional administrative support—you will act as a strategic partner in managing priorities, coordinating client delivery, and ensuring the business operates smoothly day-to-day.
The ideal candidate is a master of logistics, a discreet gatekeeper, and a proactive operator who anticipates needs, identifies risks, and keeps both leadership and client work on track.
Key Responsibilities:
Manages complex schedules and coordinates meetings with internal and external parties, utilizing multiple calendars, and anticipating problems and conflicts in advance.
Manages and filters client communication, follows up on action items, and provides post-meeting notes.
Monitors client scopes and deliverables to ensure projects stay on time, on budget, and aligned with expectations.
Proactively calls out red flags to the team about clients at risk or projects being off track .
Monitors a team’s workload and capacity and makes recommendations to adjust as needed.
Create and manage client profitability reports and send notes to team members.
2–3 years of experience in a similar role
Experience working in a client services, agency, or consulting environment strongly preferred.
Experience managing workflows and projects in tools like ClickUp (or similar project management platforms)
Proficient in Google Suite. Knowledge of HubSpot is a plus.
Experience with AI productivity tools (e.g., ChatGPT, Claude)
Exceptional written and verbal communication; ability to thrive in a fast-paced, shifting environment; and a “no task too small” mentality combined with high-level strategic thinking.
Strong attention to detail and comfort managing multiple tasks
Process-Oriented Mindset: Willingness to follow established processes and playbooks with precision, while contributing to the development and refinement of processes.
This position offers a competitive salary range of $65,000 to $75,000, based on experience, with additional incentives on top of the base salary.

This is a primarily remote position, with most of your work being conducted from your home office. We expect a professional, distraction-free workspace equipped with strong internet, good lighting, and an environment conducive to client-facing work. While the role is remote, candidates must reside in Connecticut and be within driving distance of our Cheshire, CT office for periodic in-office collaboration and content creation.
Working hours are typically between 9:00 AM and 5:00 PM Eastern Time to align with client schedules, as this is a coaching-focused role. However, we offer flexibility for independent work outside of client meetings, allowing you to manage your schedule when tackling project-based tasks.
Travel is minimal but may include occasional trips to visit clients, typically no more than a few times per quarter. Additionally, travel will be required to attend IMPACT’s conferences, held twice a year. These events are a great opportunity to connect with clients, colleagues, and the broader community we serve. Travel requirements will be discussed in advance, and accommodations will be provided as needed.
