HR Service Center Representative

As an HR Service Center Representative, you provide end-to-end administrative and operational support for HR functions, ensuring accurate transaction execution, data integrity, and a seamless employee experience. This role partners with employees, managers, HR colleagues, and Employee of Record (EOR) vendors, balancing day-to-day service center responsibilities with program coordination and process improvement initiatives.

At this job you will:

  • Handle global and region-specific employee inquiries, ranging from simple to moderate, applying knowledge and experience of HR policies, procedures, HR systems, and internal processes. Redirect complex or confidential matters to appropriate experts.

  • Offer prompt assistance on HR policies, procedures, and benefits information, ensuring timely processing of benefit claims.

  • Process transactions within HR systems per established guidelines and procedures (Sapling, Lattice, Deel, Remofirst, Zendesk).

  • Uphold data consistency and accuracy by following protocols for updating, validating, and rectifying HR records and related data within HR systems.

  • Maintain the integrity of organizational data within HR systems, updating systems accurately and conducting regular data audits.

  • Manage electronic employee records, ensuring comprehensive maintenance.

  • Contribute to PandaDoc’s HR Knowledge Base by updating HRWiki with new policies and providing employee feedback for documentation improvement.

  • Generate and summarize basic reports or queries, supporting data analysis for leadership purposes.

  • Monitor systems, recommend corrective actions, while embodying PandaDoc’s vision and values in all employee interactions.

  • Provide assistance for all areas of HR functions for Contractors and EOR workers including HR systems, HR Administration, audit reports, verification letters, HR policies and procedures, Payroll, Rewards, Performance Management, Talent, Mobility in coordination with HRBP.

  • Collect and coordinate the flow of contracts and other documents necessary to work with Contractors, EOR workers, and counterparties.

  • Maintain and audit the personal data of Contractors and EOR workers in HR systems.

  • Be responsible for ad hoc administrative duties.
