About the Role
At Pavago, one of our clients is hiring a highly organized and detail-oriented Admin Executive Assistant to support operations, compliance workflows, client onboarding, and internal coordination within a structured IT Asset Disposition (ITAD) environment.
This is not a basic administrative support role.
You will serve as the operational control layer across:
- Executive coordination
- Compliance documentation
- Workflow tracking
- Client onboarding
- Records management
- Operational communication
This role requires exceptional attention to detail because even small operational mistakes can create downstream compliance, operational, or financial issues.

What You’ll Own
Administrative Coordination & Scheduling
- Manage calendars, scheduling, operational coordination workflows, and meeting logistics
- Coordinate communication across leadership, clients, operations teams, and vendors
- Anticipate operational needs and protect leadership bandwidth
- Ensure tasks, deadlines, and follow-ups move forward without delays
Documentation & Compliance Support
Maintain organized, audit-ready documentation across systems
Support compliance-sensitive workflows within ITAD operations
Ensure all records remain:
- Accurate
- Complete
- Properly documented
- Securely stored
Work within systems such as:
- Google Workspace
- Slack
- CRM platforms (Salesforce or similar)
- Operational tracking systems
Maintain consistency and accuracy across all documentation and operational records
Operational Tracking & Quality Control
Track:
- Client onboarding progress
- Operational workflows
- Internal updates
- Documentation changes
Identify inconsistencies across:
- Dates
- Records
- Schedules
- Onboarding data
- Documentation
Validate names, records, numbers, and workflow details before execution
Help prevent operational issues through proactive quality control and review
Systems & Records Management
Maintain clean and structured systems across operational tools
Keep records:
- Organized
- Searchable
- Accessible
- Audit-ready
Ensure operational systems remain consistent and reliable long term
Improve documentation organization and workflow efficiency where possible
Required Experience & Skills
Experience
3+ years of experience in:
- Executive Assistant roles
- Administrative Assistant roles
- Operations support roles
- Virtual Assistant roles
- Compliance-focused administrative environments
Core Skills
Strong experience with:
- Google Workspace
- Slack
- CRM systems (Salesforce or similar)
Exceptional attention to detail and organizational ability
Strong written and verbal English communication skills
Ability to work independently with minimal supervision
