HR Specialist

Working Hours: U.S. Business Hours (Flexible for onboarding cycles, payroll timelines, and employee support needs)
About the Role
We’re hiring a detail-oriented and people-focused HR Specialist to support core HR operations across the full employee lifecycle.
This role is responsible for keeping HR processes organized, compliant, and employee-centered — from recruitment coordination and onboarding to HRIS management, payroll support, compliance tracking, and employee relations.
This is not just an administrative HR role. We’re looking for someone who can proactively manage workflows, maintain accurate records, support employees professionally, and improve operational efficiency across HR systems and processes.
The ideal candidate is highly organized, process-driven, and comfortable balancing empathy with compliance in a fast-paced remote environment.
What You’ll Own
Recruitment & Hiring Support
• Post and manage job openings across job boards and career platforms
• Screen resumes and coordinate interviews with candidates and hiring teams
• Support recruiters with scheduling, communication, and candidate tracking
• Maintain organized hiring workflows and candidate records
• Ensure a positive and professional candidate experience throughout the hiring process
Onboarding & Offboarding
• Prepare offer letters, onboarding packets, and orientation schedules
• Coordinate onboarding workflows for new hires across systems and departments
• Ensure completion of HR documentation including I-9s, E-Verify, tax forms, and direct deposit setup
• Manage offboarding processes including exit documentation, equipment coordination, and access removal
• Maintain accurate onboarding and offboarding checklists and records
HRIS & Employee Records Management
• Maintain accurate employee data within HRIS platforms such as BambooHR, ADP, Gusto, or Zenefits
• Track PTO, employee status changes, benefits enrollment, and organizational updates
• Generate HR reports related to headcount, turnover, compliance, and workforce metrics
• Ensure all employee records remain organized, secure, and audit-ready
• Identify and correct inconsistencies in employee records proactively
Payroll & Benefits Support
• Partner with payroll and finance teams to validate hours, deductions, and payroll inputs
• Support benefits administration, employee enrollment, and open enrollment coordination
• Respond to employee questions regarding payroll, PTO, benefits, and HR policies
• Ensure payroll-related documentation and approvals are completed accurately and on time
Compliance & Policy Administration
• Assist with drafting and updating HR policies, SOPs, and employee handbooks
• Support compliance with U.S. labor laws including FMLA, FLSA, ADA, and EEOC guidelines
• Maintain audit-ready documentation for internal reviews and external compliance checks
• Monitor HR processes to ensure alignment with company policies and legal requirements
Employee Relations & HR Support
• Serve as a trusted point of contact for employee questions and concerns
• Support employee engagement and performance management processes
• Escalate sensitive employee matters appropriately to HR leadership
• Coordinate employee training sessions and compliance certifications
• Track training completion and development milestones across teams

Required Experience & Skills
• 2+ years of experience in HR support, HR operations, or people operations
• Experience working with HRIS systems such as BambooHR, ADP, Gusto, or Zenefits
• Familiarity with U.S. labor law compliance and HR best practices
• Strong Microsoft Office and Google Workspace skills
• Excellent written and verbal English communication skills
• Strong organizational and administrative abilities
Preferred Experience
• SHRM-CP, PHR, or similar HR certification
• Experience supporting multi-state or international teams
• Background in SaaS, professional services, startups, or remote-first organizations
• Experience improving HR workflows or supporting HRIS implementation projects
• Exposure to payroll coordination and benefits administration

An HR Specialist’s day revolves around supporting employees, maintaining compliance, and ensuring HR operations run smoothly. You will:
• Update employee records and HRIS systems
• Coordinate interviews, onboarding, and employee documentation
• Validate payroll inputs and support benefits-related workflows
• Respond to employee questions related to HR policies, PTO, and benefits
• Maintain audit-ready compliance records and documentation
• Generate HR reports and support leadership with workforce data
