About the role
As a Regional Facilities Manager, you will be responsible for the safe, efficient, and high-quality operation of offices in multiple European countries (Germany, France, the UK, Bulgaria). You will manage operational, technical, administrative aspects and relationships with contractors to create a work environment that supports employee productivity and reflects the company’s values.
Key Responsibilities
Operations & Maintenance
- Oversee the daily operation of offices: building systems (heating, ventilation, air conditioning, electricity, plumbing), cleaning, security, and reception.
- Develop and manage preventive and corrective maintenance plans to ensure optimal performance of all facilities.
Contractor & Vendor Management
- Source, select, coordinate, and monitor contractors and service providers, ensuring quality, compliance with standards, and cost-effectiveness.
- Manage contracts, negotiate terms and budgets, and monitor deadlines and changes.
Compliance & Safety
- Ensure compliance with safety, occupational health, and fire safety regulations across all offices.
- Maintain documentation for inspections, contracts, and safety audits.
Budgeting & Reporting
- Participate in budgeting and forecasting for facility maintenance and capital projects.
- Track and report on key performance indicators for facilities, and analyze risks and opportunities.
Stakeholder Management & Workplace Experience
- Build effective relationships with landlords, suppliers, office managers, and cross-functional teams (HR, IT, Finance, Sales).
- Promote a hospitable and comfortable environment for employees and visitors.
Travel & Coordination
- Travel between European offices as required (approximately quarterly or as business needs dictate).
Required Qualifications
- 3–7+ years of experience in facilities management, operations, or a related field.
- Experience managing contractors, contracts, and stakeholder relationships.
- Excellent communication and organizational skills.
- Fluent in English; additional languages are a plus (German, Bulgarian).
- Willingness to travel between European offices.
Preferred Skills
- Experience in multi-site or hospitality-oriented environments.
- Knowledge of occupational health and safety standards in EU countries.
