Administrative Assistant – Sales (Support for 4 Vice Presidents)
Location: East Coast - USA Remote
We are seeking a highly organized and detail-oriented Administrative Assistant to support four Vice Presidents within our Sales organization. This role is pivotal to ensuring day-to-day operations run smoothly by focusing on tactical administrative tasks, including calendar management, travel coordination, and expense reporting.
The ideal candidate is resourceful, proactive, and thrives in a fast-paced environment. You enjoy working behind the scenes, take pride in flawless execution, and are comfortable supporting dynamic leaders with high standards and varying work styles.
Key Responsibilities
- Calendar Management: Coordinate and manage complex calendars, schedule internal and external meetings, and prioritize competing time demands.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and ground transportation, aligned with executive preferences.
- Expense Reporting: Prepare, track, and submit expense reports in a timely and compliant manner.
- Meeting & Event Logistics: Assist in the planning and execution of team meetings, offsites, and other Sales-related events.
- Administrative Support: Handle confidential information with the utmost discretion and professionalism; respond to internal and external requests promptly.
- Process Improvement: Identify and implement opportunities to improve administrative workflows for greater efficiency.
Required Skills & Qualifications
- 2+ years of administrative experience supporting executives; Sales team experience preferred but not required.
- Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
- Demonstrated ability to work independently with minimal direction while collaborating effectively within a team.
- High degree of discretion, integrity, and professionalism in handling sensitive information.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, etc.) and other productivity tools.
- Calm under pressure, adaptable to shifting priorities, and solution-oriented.
- Strong attention to detail and a preference for working behind the scenes in a supporting role.

Base salary range:
$93,500—$110,000 USD
