Job Title: Administrative Assistant
Location: Remote
Work Shift: EST Timezone
Working Hours: 20–30 hours per week | EST preferred (some async work is okay) | 5 days a week with potential to transition to 40 hours
Job Overview:
We’re looking for a detail-oriented and proactive Administrative Assistant to support day-to-day operations across HR, Finance, and General Admin. This role is ideal for someone who thrives in a fast-paced, high-growth startup environment and is comfortable with async workflows and distributed teams.
You’ll work closely with our internal operations team to ensure smooth onboarding, payroll support, recruitment coordination, and expense management using modern tools and platforms.
This is an excellent opportunity for someone with a background in People Ops, HR, or Finance administration who enjoys wearing multiple hats and keeping internal operations running efficiently.
Key Responsibilities:
- Coordinate employee and contractor onboarding through platforms like Justworks and Deel
- Manage global onboarding calendars and scheduling across multiple time zones
- Process bills, reimbursements, and recurring expenses via Ramp or similar tools
- Assist with vendor payments, compliance documentation, and monitoring of a digital mailbox
- Support recruitment operations: screen resumes, manage candidate pipelines, schedule interviews
- Provide general administrative support across HR, Operations, and Finance functions
Qualifications:
- 1–3 years of experience in administrative, HR, People Ops, or finance-related roles (preferably in a startup or tech environment)
- Familiarity with tools such as Stripe, Google Suite, Lever (or similar ATS), and banking systems
- Prior hands-on experience with tools like Justworks, Deel, Ramp, HubSpot, or comparable alternatives
- Strong attention to detail with a proactive, solution-oriented mindset
- Excellent time management and communication skills, especially in a remote and async work setting (Slack, Zoom, etc.)
- Experience with payroll, contractor management, onboarding, and expense tracking systems such as Gusto, Remote, Brex, or similar
Note: Experience with the exact tools listed is helpful but not required—we’re open to candidates who have used similar systems and can quickly learn our specific platforms.
Nice to Have:
- Experience in vendor management, compliance processes, or recruiting coordination
- A background in supporting lean, cross-functional, and international teams
- Familiarity with remote-first or distributed team environments
