The Opportunity

We are seeking a highly capable and strategic Chief of Staff to help lead Human Agency into its next phase of growth — supporting both internal operations and high-touch client engagements.

This role sits at the center of strategy, execution, and communication — providing force-multiplying support to the CEO and executive team, guiding cross-functional teams, and ensuring that projects move forward with speed and excellence.

The ideal candidate is an experienced operator, client-oriented, and comfortable managing both the micro and macro. You’ll be critical in helping the organization stay aligned, adaptive, and operationally excellent.


Key Responsibilities

Strategic & Executive Leadership

  • Partner closely with the Founder and executive team to drive key initiatives and organizational priorities forward.

  • Lead and support cross-functional efforts across internal teams and external contractors.

  • Maintain focus and accountability on short- and long-term goals during periods of transition, including parental leave coverage.

  • Bring a strong understanding of technology and AI, with experience translating complex concepts into strategic insights and impactful solutions.

  • Develop clear, high-quality executive-level presentations, strategies, and documents that articulate ideas, goals, and deliverables effectively.

Client Service Delivery

  • Oversee execution of Human Agency’s service contract with multiple clients, including:

    • Marketing & Design: Manage designers and creative workflows; support strategy, asset creation, commercialization, and branding.

    • Template & Slideshow Development: Lead creation and iteration of flexible Google Slides toolkits and business presentations.

    • Website Support: Sprint management, copywriting, QA, Webflow coordination, and homepage takeovers.

    • Comms & Strategy: Provide interim comms leadership, business strategy advising, and client storytelling.

  • Ensure on-budget delivery, resource coordination, and strong client communication.

  • Track and manage time allocation against scoped hours and oversee cost escalations for overages or expanded work.

Operations & Project Management

  • Design, implement, and optimize internal systems for tracking projects, timelines, and deliverables.

  • Manage staffing assignments and subcontractor contributions across multiple client workstreams.

  • Coordinate team updates, ensure clarity on priorities, and escalate blockers proactively.

Communications & Reporting

  • Prepare agendas, presentations, and briefings for internal and external meetings.

  • Ensure the Founder’s voice is well-represented in communications during leave periods.

  • Synthesize complex information into actionable insights and clear documentation.


Who You Are

Experience & Skills

  • 5+ years of experience in operations, client services, executive support, or strategic planning roles.

  • Proven track record leading complex, client-facing projects with multiple stakeholders.

  • Strong familiarity with digital marketing, communications strategy, creative workflows, and product storytelling.

  • Able to manage designers and evaluate creative work with a discerning eye for design — though not a designer by trade.

  • High proficiency with tools such as Google Workspace, project management platforms (Asana, Notion), Webflow, and Slack.

  • Experienced in crafting polished, executive-level documents and presentations that clarify vision, drive alignment, and present information with strategic clarity.

  • Able to hold strategic context while managing tactical execution.


Considerations

  • Educational Background: Bachelor’s degree, advanced degree, or equivalent professional experience in relevant fields considered.

  • Ethical Awareness: Commitment to ethical practices and compliance with industry standards.

  • Travel: Occasional travel (10–30%) may be required, particularly for client activations and events.
