We are looking to fill an Energy Efficiency Administrative Assistant I position as part of our Energy Efficiency (EE) team in support of our HVAC, water heating, and food service equipment utility rebate programs. This role will be responsible for processing incentive applications and ensuring they are in compliance with program requirements. Ideal candidates possess a keen eye for detail, have strong problem-solving skills and excellent written and interpersonal communication abilities.
As a member of the Energy Solutions team, you will have a broad impact on energy efficiency markets and greenhouse gas reductions through our work for major North American utilities, program administrators and other national leaders in energy efficiency. The person filling this role will be required to work in a hybrid work environment adjacent to one of our offices (Oakland, CA, Orange, CA, Portland, OR, Boston, MA, New York, NY or Chicago, IL) and expected to be in the office a minimum of once a week.
Responsibilities include but are not limited to:
- Payee & user account creation: entering in information into our online website
- Incentive claim review: reviewing attachments, data, and requirements for incentive claims
- Coordinating with participating distributors to troubleshoot claim or payment issues
- Formatting Excel spreadsheets and uploading to our online website
- Support ad-hoc projects as directed by team supervisor
Minimum qualifications:
- A minimum of 1 year of administrative or data entry experience
- BA or BS degree in Business Administration or a related field preferred
- Business writing ability with strong spelling, punctuation, and grammar
- Intermediate experience in spreadsheets and proficiency in database management required
- Excellent time management, organizational, and multi-tasking skills with strong attention to detail
- Ability to work independently and juggle competing priorities with minimal guidance
- Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks
- Ability to remain organized, give attention to detail, follow instructions and multi-task in a professional and effective manner
- Excellent verbal and written communication abilities
- Intermediate proficiency with MS Office tools including Outlook, Word, and Excel
- A proven professional or personal commitment to the betterment of the environment and the reduction of GHGs is a plus but not required
- A basic excel test will be required during the interview process
Compensation is commensurate with experience within the pay bands of $21 - $26 /hourly

Office Locations and a Remote Workforce
Energy Solutions operates as a predominantly remote workforce with offices in six different locations. Employees who reside within 40 miles of an office (except New York) will be assigned to that location, though in-office attendance requirements may vary by team.
