The impact of this role

The Event Sponsorship Manager is a key member of AMA’s Alliances team, managing all sponsorship-related events, activities, and fulfillments. You will act as the primary representative of the Alliances team in organization-wide event discussions, collaborating and communicating effectively between teams about sponsoring events. You will oversee the entire communication process with our exceptional event sponsors, including pre-event planning, on-site communication, and the delivery of post-event metrics.

Experience in event and sponsor relations management is crucial for this position, as it equips you with a thorough understanding of the complete event workflow from inception to execution. We seek someone who can develop a deep understanding of our events landscape, ensuring our sponsorship offerings remain relevant and innovative. What you’ll be doing

Sponsor & Exhibitor Management

  • Own the sponsor experience from contract signed to delivery of post-event content.
  • Serves as the primary point of contact with exhibitors and sponsors for events, ensuring they have the necessary information for a successful event.
  • Manages all vendor-related sponsorship deliverables on ama.org, in the mobile app (Cvent), and on-site.
  • Collects all collateral required to promote sponsors and exhibitors across all channels.
  • Manages the measurement of customer satisfaction and gathers relevant data post-show.
  • Acts as a liaison across AMA teams to ensure complete and accurate follow-up on contractual components related to exhibit and sponsorship programs for events.

Event Logistics & Execution

  • Works closely with Expo Show Vendors & Hotels to ensure accurate show logistics concerning registration, exhibitor installation plans (e.g., exhibitor kits, show move-in/move-out, shipping to and from the event, networking times, and on-site set-up and tear-down logistics).
  • On-site attendance at events is required.
  • Experience with Freeman is preferred.

Internal Collaboration & Project Support

  • Acts as a liaison with other departments, particularly communities, production, and marketing, to ensure that AMA creates an effective and engaging event experience for all sponsors.
  • Works independently and within a team on special nonrecurring and ongoing projects at the request of the Alliances Director, including mailings, client appreciation, and client support.
  • Functions as a traffic manager for event sales materials, such as individual event prospectuses, to ensure proper resource allocation and on-time fulfillment.
  • Coordinates with marketing on on-site event materials, mailings, sponsor communications, on-site guides, and signage, being responsible for the accuracy and clarity of the final product.

What you bring to the table

  • 5+ years of experience with 1,500+ attendee corporate in-person events, including 50+ sponsors in the expo halls, particularly experience with the operational side of events (i.e. stakeholder communication management and event planning)
  • A proven successful track record of event planning and client relationship management skills
  • Robust understanding of event flow, event sponsorship opportunities, and client management
  • Direct client communications experience
  • Strong organization skills
  • Ability to travel up to 15%

What you may also have

  • Experience in project management software (Asana preferred), Cvent, Google Suite products, and CRM (Salesforce preferred)
  • Curiosity about how we can grow sponsorship footprints at AMA events
