Memtech Acoustical is a Michigan-based noise control consulting firm specializing in industrial and commercial environments. Since 2001, we’ve delivered turnkey solutions—from noise studies and modelling to material selection and installation—that help clients reduce noise, meet compliance standards, and protect employee well-being. Our team of engineers and partners with manufacturers, facility managers, and safety professionals across the U.S. to engineer peace of mind through sound. In addition to the core business, our President also manages a real estate investment portfolio, which this role will occasionally support.

We’re looking for a detail-oriented and proactive Executive Assistant to bring structure and efficiency across multiple areas of our growing business. This role is essential to keeping both our noise control company (Memtech Acoustical) and real estate operations running smoothly behind the scenes. You’ll own the administrative, logistical, and operational support functions that keep our internal and external relationships strong and our projects moving forward.

In this role, you will:

🗓  Calendar & Meeting Management – Coordinate schedules, book meetings, send reminders, and ensure follow-ups happen on time.

📩 Inbox & Communication Support – Triage email, draft professional responses, manage client/vendor communication, and respond to DMs and messages across our social media accounts.

📁 Admin & Operational Support – Handle document organization, data entry, and various administrative tasks that keep the business organized.

🚚 Logistics & Coordination – Schedule site visits, track deliveries, liaise with contractors, and manage key logistics for both real estate and acoustics projects.

📊 Project Assistance – Monitor timelines, track action items, and help keep projects on schedule.

🧾 Meeting Follow-Ups & Accountability – Create follow-up notes, to-do items, and task assignments after meetings to ensure clear next steps and that no communication falls through the cracks.

🤝 Internal Team Coordination – Serve as a point of contact between the executive team and other departments; coordinate with team members to ensure alignment.

📝 SOP Development & Improvement – Help document and refine standard operating procedures for smoother workflows.

📣 Marketing & Social Media Support – Draft blog posts, create social media content, help with SEO efforts, respond to comments/messages, and create discussion threads on platforms like Reddit to spread awareness about noise control and our services.

📧 Email Campaigns & Distribution Management – Help create and manage email marketing campaigns, maintain and update distribution lists, and assist with client outreach initiatives.

Working Hours ⏰: This role is part-time (30–35 hours/week) and ideally includes 4–5 hours of overlap with Eastern Time (ET), Monday to Friday, with an opportunity to become full-time based on performance and workload.

You’ll thrive in this role if you have:

✅2 years + experience as a virtual EA / Ops Assistant.

✅ Prior experience working for an International or US based Business.

✅ Prior experience working in Construction : Understanding of construction drawings & blueprints.

✅ Strong organizational and admin skills

✅ Prior experience supporting executives remotely

✅ Fluent written and verbal English skills

✅ Excellent attention to detail and ability to anticipate needs

✅ Comfortable with Microsoft 365 and project/task management tools

✅ Experience creating SOPs and process documentation.

Bonus Points for:

🌟 Experience in construction, real estate, or engineering industries (reading/creating construction drawings and blueprints is a plus)

🌟 Familiar with SharePoint, CRM tools (like Contractor Foreman)

🌟 Light design skills (Adobe Express, Canva, PowerPoint, etc.)
