Job description

MedVA is looking for a dynamic and highly organized Executive Assistant to join our team. In this pivotal role, you will support our executive leadership by managing daily administrative operations, optimizing workflows, and ensuring projects are delivered on time. As an Executive Assistant, you will be the point of contact for internal and external stakeholders and will play a crucial role in enhancing the effectiveness of executive management.

Your responsibilities will include scheduling meetings, managing calendars, preparing reports, and coordinating communications. You will also be tasked with maintaining confidentiality and exhibiting professionalism in all interactions. If you are proactive, detail-oriented, and possess excellent communication skills, we invite you to become part of our growing team.

Responsibilities

  • Manage executive schedules, including meeting arrangements and travel logistics

  • Prepare and organize reports, presentations, and other documents as needed

  • Act as a liaison between the executive team and employees, clients, and partners

  • Assist in project management, tracking progress, and ensuring deadlines are met

  • Coordinate and attend meetings, taking minutes and following up on action items

  • Maintain a filing system and ensure documents are organized and easily accessible

  • Handle confidential information with discretion

  • Support various administrative tasks as needed to enhance operational efficiency

  • Proven experience as an Executive Assistant or in other administrative positions

  • Exceptional organizational and time management skills

  • Strong written and verbal communication skills

  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with collaboration tools

  • Ability to work independently and handle multiple priorities in a fast-paced environment

  • Strong problem-solving skills and attention to detail

  • Experience in project management is a plus

  • A bachelor’s degree in business administration or a related field is preferable
