🚀 About the role

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide full-time support to four individuals in a dynamic and fast-paced work environment. You will work closely with our Senior Executive Assistant, who will provide guidance and support to ensure success in the role.

🚀 What you’ll do

  • Provide calendar and scheduling support to four executives, including internal and external meetings, recurring check-ins, and ad hoc requests
  • Create and manage Google Spreadsheets and Google Slides for presentations, tracking, and reporting
  • Maintain and organize documentation, notes, and task tracking using Notion
  • Coordinate travel arrangements including flights, hotels, ground transportation, and itineraries
  • Assist with carrier appointment coordination including forms, submissions, and login credential management
  • Monitor and manage email (Gmail) and Slack communications as requested
  • Help plan and organize small company offsites, including vendor coordination, logistics, and maintaining the event budget
  • Track and manage expenses using Ramp and ensure accurate and timely submissions
  • Support other administrative functions such as file organization, meeting notes, and reminders
  • Collaborate cross-functionally to ensure executive needs are met with a high degree of confidentiality and professionalism
  • Maintain an organized task list and follow through on action items without needing follow-up

🚀 What you’ll bring

  • Minimum 2 years of experience in an administrative or executive assistant role, preferably supporting multiple leaders in a fast-paced environment
  • Strong proficiency with Google Workspace (Sheets, Slides, Gmail, Calendar, Drive)
  • Experience using Notion for project tracking, documentation, or team collaboration
  • Comfortable with Slack, Zoom, and other collaboration tools
  • Excellent written and verbal communication skills
  • Experience with Ramp or similar expense tools
  • Strong attention to detail, with a proven ability to manage multiple priorities with shifting deadlines
  • Proactive mindset and a “no task is too small” attitude
  • Ability to work independently and remotely with minimal supervision
  • Salesforce experience is a plus, but not required
