The Role

The Executive Assistant provides high-level administrative, executive, and project support directly to the Chief Operations Officer. This role requires professionalism, discretion, and strong organisational skills to ensure smooth day-to-day operations. The EA acts as a key liaison between the executive, their internal teams, and external stakeholders while managing schedules, correspondence, and travel event coordination.

As our Executive Assistant To Chief Operations Officer your key responsibilities include, but not limited to:

  • Manage complex calendars, meetings and correspondence, including organisation of the Executives inbox and flagging any outstanding items.

  • Prepare/review reports, presentations, and meeting materials, including town hall messaging.

  • Handle communications and liaise with internal and external stakeholders.

  • Process expenses and maintain records.

  • Manages the day-to-day operations of the UK office by coordinating with internal teams and external vendors, overseeing office supplies, events, and facilities, and ensuring smooth collaboration across departments and compliance with local procedures.

  • Complex travel management of the team EMEA/LATAM business.

  • Plan and manage Cyprus, London and other global office events throughout the year

  • Coordinate board reports, attend departmental meetings where required, including scheduling, document preparation and action taking with follow up.

  • Liaise with vendors and manage budgets where applicable.

  • Provide ad hoc support to the executive’s teams, including booking travel and arranging events for teams and any group travel.

  • Supports the effective management of the UK office by coordinating delegated tasks across relevant teams (e.g. security with IT, landlord), and liaising with vendors to maintain smooth office operations, including supplies and end-of-year gifts.

  • Assist with the onboarding process of the Executives direct reports and others as required

  • Ad hoc project management and tasks as required

About you

  • Excellent attention to detail
  • Exceptional verbal and written communication skills
  • Excellent interpersonal skills and ability to develop strong relationships
  • Strong organisational/time management and ability to manage changing deadlines and work autonomously
  • Ability to multitask, prioritise tasks and perform duties ‘hands on’
  • Advanced skills in Microsoft applications
  • Experience in a fast-paced, challenging environment
  • 3+ years’ experience in a similar role, preferably supporting C-level executives.
  • Aptitude for learning and continual development
  • Highly motivated, flexible, positive people person with a strong drive to succeed
  • High level of professional discretion and ability to maintain confidentiality
  • Willing to work across global time zones as required.
