Job description

We are seeking an Executive Assistant with exceptional skills in documentation and meeting minutes, particularly in a fast-paced advertising environment. This role involves meticulously documenting tasks, assigning work order IDs for each new client acquisition, and creating detailed roadmaps for GoHighLevel. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities while working remotely during US business hours.

Key Responsibilities:

  • Accurately document and maintain detailed records of meetings, including action items, decisions, and follow-ups.
  • Assign work order IDs for each new client acquisition and ensure proper tracking and organization.
  • Create and maintain comprehensive roadmaps for GoHighLevel, ensuring all tasks and milestones are clearly outlined.
  • Track and manage tasks for the executive team, ensuring deadlines are met and priorities are aligned.
  • Proactively follow up on pending items and provide regular updates to stakeholders.
  • Serve as a liaison between executives, team members, and external partners, ensuring clear and timely communication.
  • Schedule and coordinate meetings, ensuring all necessary materials are prepared and distributed in advance.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role, preferably within an advertising or fast-paced agency environment.
  • Exceptional skills in documentation, meeting minutes, and task management.
  • Strong understanding in GoHighLevel, project management tools, and other relevant software.
  • Outstanding written and verbal communication skills.
  • High attention to detail and a commitment to accuracy.
  • Ability to work independently and remotely while maintaining accountability and productivity.
  • Availability to work during US business hours.
