Position Summary
We are seeking a highly organized and proactive Financial Operations Manager to lead and optimize our financial processes. In this part-time, remote role, you’ll oversee the full cycle of financial operations—including invoicing, reconciliations, reporting, and budget development—and serve as an advisor to the executive team on financial strategy and QuickBooks best practices. This role blends hands-on execution with high-level financial planning, documentation, and collaboration across departments.
Financial Management
- Manage client invoices via QuickBooks Online
- Track and manage accounts receivable, including client payment follow-ups
- Manage Divvy (Bill.com) for all outgoing vendor payments
- Manage passthrough vendor payments via Cashpro and Divvy (Bill.com)
- Reconcile payments and expenses between actuals and QuickBooks data
- Oversee monthly close and generate financial reports and insights for leadership
- Prepare year-end books and documentation for tax prep in collaboration with our accountant
Strategic & Operational Support
- Advise on and optimize QuickBooks processes, maintaining up-to-date documentation of financial workflows
- Support the Director of Operations on ad hoc financial analysis, audits, and operational projects
Leadership & Documentation
Identify and implement process improvements across financial workflows
Collaborate with department leads to align financial strategy with business goals
Create clear, concise SOPs to streamline recurring financial tasks
5+ years QuickBooks Online experience (advanced knowledge required)
Proficiency in Google Sheets and/or Microsoft Excel (financial modeling, pivot tables, VLOOKUPs, etc.)
5+ years managing AR/AP, general ledger, payroll, and reconciliations
Familiarity with Divvy, Harvest, and Gusto (preferred)
Demonstrated success working remotely and autonomously
Strong understanding of internal controls, financial compliance, and cash flow management
Strong time management, communication, and problem-solving skills
Bonus: Exposure to digital marketing agency environments and understanding of services like SEO, Paid Media, or Automation
