We are seeking a dynamic and experienced Operations Manager to join our growing executive search firm. This fully remote position offers the opportunity to drive operational excellence and support our mission of connecting exceptional talent with leading organisations globally. The successful candidate will play a crucial role in streamlining our processes, enhancing client experiences, and ensuring the smooth functioning of our executive search operations.
Responsibilities:
Process Management & Optimisation
- Develop, implement, and continuously improve operational processes and procedures across all aspects of the executive search function
- Monitor and analyse key performance indicators to identify areas for improvement and drive efficiency gains
- Ensure compliance with industry standards and internal quality assurance protocols
- Manage project timelines and deliverables to meet client expectations and internal targets
Client & Stakeholder Management
- Coordinate client communications and maintain strong relationships throughout the search process
- Oversee the preparation and delivery of client reports, presentations, and search updates
- Manage client databases and ensure accurate maintenance of all client information and search records
- Support business development activities and proposal preparation as required
Team Coordination & Support
- Collaborate closely with consultants and researchers to ensure seamless execution of search assignments
- Provide operational support to the search team including scheduling, documentation, and administrative coordination
- Facilitate effective communication between internal teams and external partners
- Assist in onboarding new team members and ensuring they have the necessary operational support
Technology & Systems Management
- Oversee the effective use of CRM systems, databases, and other technology platforms
- Identify opportunities for technology improvements and coordinate implementation of new systems
- Ensure data integrity and security across all operational systems
- Generate regular reports and analytics to support business decision-making
Financial & Administrative Oversight
- Support budget planning and monitor operational expenses
- Coordinate invoicing processes and maintain accurate financial records related to search assignments
- Manage vendor relationships and coordinate procurement of operational resources
- Ensure proper documentation and filing of all business-critical information
Essential Qualifications & Experience
- Bachelor’s degree in Business Administration, Operations Management, or related field
- Minimum 5 years of operations management experience, preferably in professional services or recruitment
- Proven track record of process improvement and operational excellence
- Strong project management skills with experience managing multiple concurrent projects
- Advanced proficiency in CRM systems, Microsoft Office Suite, and database management

Preferred Qualifications
- Previous experience in executive search, recruitment, or talent acquisition
- Experience with business intelligence tools and data analysis
- Understanding of the global business landscape and employment practices
- Project management certification (PMP, PRINCE2, or similar)
