As a Project Coordinator in the BPM PMO, you will support the successful execution of projects by coordinating intake requests, maintaining project tracking systems, and assisting with cross-functional communications. You will ensure timely updates to project management platforms such as Monday.com, schedule and coordinate meetings, and assist in conducting discovery calls to gather initial requirements. Your role will be central to ensuring transparency, organization, and momentum across the project lifecycle. You will work under the guidance of PMO leadership and support both IT and business-facing initiatives, helping maintain alignment between project requests and strategic goals.

Key Responsibilities
- Coordinate intake request processes, track statuses, and follow up with stakeholders to ensure timely progression.
- Maintain and update Monday.com boards and other PMO systems to reflect real-time project and intake statuses.
- Schedule, coordinate, and facilitate project-related meetings, including intake discussions, discovery calls, and status check-ins.
- Participate in discovery calls to document high-level business needs, dependencies, and risks.
- Capture meeting notes, action items, and follow-ups; ensure documentation is shared and accessible.
- Prepare and distribute project status reports, intake summaries, and ad hoc dashboards for stakeholders.
- Monitor project activity and timelines to identify potential delays or risks; escalate concerns appropriately.
- Support PMO-led improvement initiatives such as template standardization, process documentation, and reporting automation.
- Foster a culture of collaboration, transparency, and accountability across requestors, project teams, and leadership.
- Assist Project Managers on larger initiatives and may independently manage small internal operational improvement projects.
Education:
- High school Diploma required; Associate’s or Bachelor’s degree in Business, Communications, or related field preferred.
- Project management coursework or foundational training (e.g., PMI, CAPM prep) preferred.
Experience:
- Minimum 2 years of experience as a Project Coordinator or similar role, preferably in a professional services or internal PMO environment.
- Demonstrated experience working cross-functionally with business and technical teams.
- Experience supporting project lifecycle activities from intake through execution.
Skills & Tools:
- Excellent verbal and written communication skills with a professional and polished demeanor.
- Highly organized and detail-oriented; able to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
- Intermediate to advanced knowledge of Excel for tracking and reporting purposes.
- Experience using Monday.com, Smartsheet, or other project management platforms strongly preferred.
- Familiarity with collaboration tools such as Microsoft Teams, Zoom, and SharePoint.
- A proactive and resourceful problem solver, comfortable in fast-paced, evolving environments.
Certifications:
- None required; CAPM or other project-related certifications a plus.

$65,000 - $80,000 a year
The salary range provided is intended for candidates in the San Francisco Bay Area who meet the minimum requirements of the position. Candidates who do not reside in the San Francisco Bay Area, do not meet the minimum requirements, or exceed the requirements are encouraged to apply and a recruiter will provide you with a range specific to your location and qualifications.
