Role Overview
Weโre hiring a Strategic Integrator โ Real Estate Specialist (aka Unicorn), a high-level offshore generalist with deep experience supporting real estate businesses.
This is not just a support role โ youโll act as a trusted partner to real estate brokers, agents, and teams, keeping deals and operations moving while growing the brand and keeping clients happy.Youโll manage key administrative, operational, marketing, and client-facing tasks, bringing structure to chaos, improving efficiency through smart use of AI, and freeing clients to focus on closing deals and growing their business.
Core Responsibilities
Admin & Project Management (Take things off their plate and save time)
- Manage inbox, calendar, scheduling, reminders, and organize files and databases.
- Create and maintain transaction documents, offers, disclosures, listing agreements, and MLS records.
- Draft and send professional communications to clients, buyers/sellers, and vendors.
- Track transaction timelines, coordinate showings, and keep all parties accountable to deadlines.
- Improve time and task management systems for listings, closings, and client follow-up.
AI Optimization (Make them more efficient)
- Draft and edit emails, listings, marketing captions, and newsletters using AI tools.
- Summarize meetings, notes, and documents into clear action items.
- Research comps, market data, or trends to support pricing and strategy decisions.
- Draft SOPs, checklists, and internal documentation with AI assistance.
Brand & Marketing Support (Build their brand and generate business)
Create property flyers, listing presentations, and social media graphics in Canva or similar tools.
Draft and schedule email campaigns, newsletters, and social media posts.
Post listings online and keep the content calendar updated.
Client Support
- Respond to client inquiries and emails promptly and professionally.
- Proactively check in with clients, buyers, and sellers to ensure smooth transactions.
- Send weekly client updates and deal progress reports.

Minimum 3 years of experience in real estate admin, operations, transaction coordination, or similar roles.
Proven ability to manage multiple priorities and transactions in a fast-paced environment.
Strong written and verbal communication skills; able to draft clear, professional emails, updates, and marketing copy.
Hands-on experience with MLS platforms, CRMs, and common real estate tools.
Proficiency in Google Workspace, Microsoft Office, Canva, and social media platforms.
Familiarity with AI tools to enhance productivity.
Exceptional organizational skills, attention to detail, and follow-through.
Ability to think critically, adapt quickly, and bring structure to ambiguity.
