CPT-9149 Part-Time Real Estate Virtual Assistant

REQUIRED SERVICE: Real Estate VA

REQUESTED EXPERIENCE TIER LEVEL: Senior and Advanced Levels

MIN. HOURS/WEEK: 20 hours

SHIFT TIME ZONE: EST

SHIFT HOURS: Flexible between 9:00 AM – 5:00 PM Eastern Time

SHIFT DAYS: Monday to Friday

REPORTING TO/POC: To Be Determined

Overview: We are seeking a highly organized, proactive, and detail-oriented Real Estate Virtual Assistant to support our team with a mix of administrative, marketing, and transaction coordination tasks. This role requires someone familiar with real estate operations and digital platforms, especially for property marketing, CRM maintenance, and communication support.The ideal candidate should be comfortable working with tools such as Google Workspace, social media platforms, MLS systems, and be flexible enough to learn new software and systems used in the real estate industry.

Responsibilities:

Mailer Campaign Management:

  • Create and send postcards for Just Listed, Just Sold, and Open House announcements.
  • Submit postcard designs for approval prior to mailing.
  • Use tools such as Weichert Tools or Zillow mailer platforms; alternative platforms may be used based on preference and ease of use.

Email & Google Workspace Tasks:

  • Email sign installation requests to our partner
  • Monitor the team Gmail inbox for showing appointments and update the shared Google Calendar accordingly.
  • Track and organize incoming offers into designated Google Docs.
  • Record and summarize offer details (template provided).

Social Media Support (Instagram):

  • Create and post ‘Just Listed’ / ‘Just Sold’ carousels on Instagram.
  • Share relevant listing updates to Instagram Stories.

Weichert Tools Platform:

  • Design flyers for new listings (template provided).
  • Manage mailer campaigns (Just Listed, Just Sold, etc.)

MLS (Hudson Gateway MLS):

  • Upload listing photos and descriptions from shared documents.

CRM Support (Zillow Premier Agent/Follow Up Boss – future use):

  • Monitor and update CRM with lead data, activity notes, and progress updates.
  • Upload listing media to Zillow (floor plans, virtual tours, etc.).
  • Organize and assign follow-up tasks and transaction stages.

Document Management (Skyslope via Weichert):

  • Send buyer agency agreements (training provided).
  • Upload transaction documents and share necessary files with cooperating agents.

Client Engagement (SendOutCards):

  • Add buyers/sellers to the platform and send personalized thank-you cards.
  • Input past clients for future outreach during slower periods.

Website Monitoring (AgentFire/HeneghanHomes.com):

  • Monitor AgentFire emails and website updates.
  • Ensure timely publishing of new listings and open house information.
  • Report any issues or delays to the team.

General Administrative & Marketing Support:

  • Order signs, marketing tools, or materials (approval required before purchases).
  • Suggest website or SEO improvements based on best practices.
  • Request client reviews from select clients upon team confirmation.
  • Assist with miscellaneous admin or creative tasks during down time.

Qualifications:

  • Previous experience in a real estate virtual assistant or similar role preferred.
  • Strong organizational and communication skills.
  • Proficient with Google Workspace (Gmail, Docs, Sheets, Calendar).
  • Comfortable using or learning platforms such as Weichert Tools, Skyslope, MLS, and SendOutCards.
  • Familiarity with Instagram and basic social media marketing.
  • CRM experience (Follow Up Boss, Zillow Premier Agent, or similar) is a plus.
  • Attention to detail and ability to work independently.
