SUMMARY OF POSITION
The Strategic Bids & Contracts Team Manager is a hands-on leader responsible for guiding a small team and personally executing complex bid and contract processes. This role manages the end-to-end development of solicited bid responses for educational furnishings and services. The manager collaborates closely with Sales leadership and other stakeholders to align on bid strategy and ensure timely, accurate, and competitive submissions. In addition to proposal creation, the team supports reporting and analysis, maintains contract records, and ensures systems are kept up to date. The ideal candidate brings a mix of strategic thinking, attention to detail, cross-functional coordination, and the ability to mentor and support a small but high-performing team.
ESSENTIAL RESPONSIBILITIES
- Lead and mentor the Strategic Bids & Contracts team, setting clear priorities and ensuring the team meets deadlines with high-quality outputs.
- Actively participate in writing, compiling, and editing bid and proposal responses for educational furnishings and services.
- Coordinate input from cross-functional stakeholders (Sales, Legal, Finance, Operations, and Suppliers) to ensure comprehensive and compliant submissions.
- Oversee bid tracking, reporting, and analysis throughout the full contract lifecycle.
- Ensure accurate documentation and updates of bids, contracts, and related data within internal systems.
- Partner with Sales leadership to develop and refine the company’s bids and contracts strategy.
- Maintain a calendar of upcoming solicitations and due dates and drive continuous improvement in the bid response process.
- Review solicitation documents for relevance, requirements, and alignment with company capabilities.
- Support compliance with pricing policies, legal terms, and other internal standards.
- Assist with supplier coordination and sourcing communication as needed.
- Lead the creation of pricing structures and sell prices to ensure margin quality.
- Assist with customer contracts and bonding requirements.
- All Meteor new hires are expected to attend an in-person cultural orientation (approx. 1 week) which requires travel to our home office in Gainesville, FL. Employees may also be required to travel and attend annual company meetings and events. All business-related travel expenses will be paid for by Meteor per our company travel and expense policy.
QUALIFICATIONS
Bachelor’s degree in Business, Communications, Supply Chain, Public Administration, or a related field (or equivalent experience).
Minimum 5 years of experience in a proposals/contracts, sales operations, or bid management role.
Proven experience developing responses to public sector bids (RFPs, RFQs, ITBs).
Exceptional organizational skills with the ability to manage multiple concurrent deadlines.
Strong written and verbal communication skills, with an eye for detail and clarity.
Proficient in Microsoft Office Suite, particularly Word and Excel.
Comfortable reading and interpreting legal and commercial terms in solicitation documents.
Ability to collaborate across functions and levels of the organization.
