We are seeking a highly organized, reliable, and customer-focused Virtual Receptionist & Administrative Assistant to join our team. This role is primarily responsible for answering and managing calls and texts, handling light administrative duties, and supporting scheduling and CRM tasks. The ideal candidate will be proactive, tech-savvy, and committed to delivering excellent customer service with long-term dedication.
RESPONSIBILITIES:
- Answer incoming calls via RingCentral, transfer calls, and ensure no calls are missed.
- Respond to and manage incoming text messages professionally and promptly.
- Perform light administrative tasks, including:
- Email management (sorting, responding, forwarding, and organizing).
- Calendar management (scheduling and rescheduling appointments).
- Sending reminders to clients and team members.
- Assisting with minimal scheduling tasks for field staff.
- Utilize a CRM system (ServiceTitan, ServiceBridge, or similar) to:
- Dispatch service technicians.
- View and manage schedules.
- Update client information and service notes.
- Assist with light task/report writing (training provided).
- Collaborate with the team to ensure smooth daily operations.
- Maintain professional communication with clients and internal staff.
QUALIFICATIONS:
- Proven experience in receptionist, customer support, or administrative roles (virtual experience preferred).
- Familiarity with CRM platforms (ServiceTitan, ServiceBridge, or similar).
- Strong phone etiquette and ability to handle multiple calls/messages simultaneously.
- Excellent written and verbal communication skills in English.
- Ability to work independently, manage time effectively, and handle confidential information.
- Tech-savvy with experience using communication tools such as RingCentral, email platforms, and cloud-based software.
- Willingness to learn new tools and processes.
Preferred Skills:
- Previous experience with service-based companies (e.g., construction, home services) is a plus.
- Knowledge of dispatching procedures and customer scheduling workflows.
