Job Description
We are a fast-paced, creatively driven social media and influencer marketing agency with offices in the United States and Bogotá, Colombia. We specialize in building bold, culturally relevant campaigns that connect brands with their audiences in authentic, engaging ways. Our Bogotá office is home to a powerhouse creative team, and we’re looking for an organized, proactive, and bilingual (English/Spanish) Junior Creative Operations Coordinator to serve as the essential bridge between our Bogotá creatives and our U.S. teams.
This hybrid role combines the structure and foresight of an operations manager, the logistical finesse of a traffic manager, and the adaptability of an executive assistant. You’ll be responsible for keeping our creative workflows smooth, projects on time, and communication between offices seamless.
Responsibilities
Operations & Administration
- Coordinate day-to-day administrative functions of the Bogotá office.
- Serve as the point person for Bogotá office logistics: supplies, scheduling, office policies, and vendor relationships.
- Manage team calendars, coordinate internal and cross-office meetings, and prep agendas or meeting notes when needed.
- Support the onboarding process for new hires in Bogotá: office access, tools, and internal coordination.
Team Engagement & Culture
- Support day-to-day office and people operations for the Colombia team including in-office attendance coordination, tracking sick days and OOO, and sending reminders.
- Support the planning and execution of monthly team activities and initiatives centered around team-building, engagement moments, and internal events.
- Help coordinate vendors, schedules, budgets, and internal communications tied to these initiatives.
Creative Traffic & Project Flow
- Help track creative bandwidth and availability using master tracking documents. Maintain and update operational trackers and spreadsheets.
- Develop and maintain project timelines, creative schedules, and status updates. Support follow-ups, coordination, and cross-team handoffs.
- Ensure deadlines are met by facilitating cross-team communication and flagging bottlenecks early.
Cross-Team Communication
Be the connective tissue between Bogotá and U.S. offices—ensuring clear, consistent, and culturally aware communication.
Facilitate real-time updates across teams regarding project status, needs, or changes.
Coordinate with Accounts, Strategy, and Creative leads to ensure deliverables align with client expectations and agency standards.
Must reside in Bogota, Colombia. This is a hybrid role that requires 2 days per week in office.
2+ years in an agency environment or similar fast-paced setting.
Bilingual: Native Spanish and fluent English (written and spoken).
Excellent organizational and communication skills.
Experience with project management tools (e.g., Basecamp, or similar tools).
Familiarity with Google Suite (Docs, Sheets, Slides, Calendar), Google Chrome, and Slack (or similarly internal communication tools).
Comfortable working with spreadsheets, trackers, and budgets.
Comfortable managing multiple priorities and working across time zones.
Proactive, solutions-oriented, and an exceptional team player.
Familiarity with creative workflows or agency environments is a plus.
Medical, dental, vision, and more!
Generous time off package, including the last week of the year.
Culture Club with virtual activities.
Wellness program that focuses on mental, physical and financial employee wellness.
A collaborative, creative work environment with room to grow.
A unique opportunity to work at the intersection of culture, creativity, and international collaboration.
And much more!
