Title: Independent Contractor – CPT-10476 Legal Administrative & Client Intake Virtual Assistant (Criminal Defense) (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A solo criminal defense attorney in the Bay Area is seeking a reliable, detail-oriented Business Support VA to assist with day-to-day law office operations. The VA will support client intake, case administration, calendaring, filings, discovery organization, billing support, and ongoing client communication.

The objective of each engagement requires someone with prior experience in a law office or legal support environment (legal assistant, paralegal assistant, intake specialist, or similar). The ideal candidate is organized, professional, comfortable communicating with clients, and able to work within structured legal processes across multiple counties and agencies.

Training will be provided, but the VA must be able to learn quickly, follow SOPs, and handle confidential information with discretion.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

  • Client Intake & CRM Management (Clio)

Manage client intake workflows, including reviewing submitted intake forms and entering information into Clio.

Maintain accurate client records, contact details, and case status updates.

Support ongoing client correspondence and document collection.

  • Case Support, Filing & Court Coordination

Assist with administrative support for active cases including drafting basic correspondence and organizing case materials.

Support e-filing and submission workflows where applicable and ensure proper organization of filed documents.

Use court filing systems (including Audacy) to retrieve case updates and enter key information into the office database.

  • DMV / Discovery & Documentation

Prepare and send discovery-related requests and correspondence (DMV / District Attorney communications) via email or fax.

Maintain organized discovery folders and upload/update materials inside Clio.

Track deadlines and ensure discovery items and documents are stored consistently.

  • Calendaring & Scheduling

Maintain the attorney’s calendar (court dates, client meetings, DMV hearings, deadlines).

Coordinate scheduling across North and South Bay obligations.

Ensure reminders and upcoming milestones are visible and communicated.

Email management as needed

  • Billing & Administrative Support

Enter billable time and expenses into required systems based on the attorney’s tracked hours.

Support county-by-county billing workflows as needed.

Assist with general administrative tasks to keep the practice organized and responsive.

  • Client Communication & Phone Support

Communicate with clients to confirm next steps, collect documents, and provide updates.

Coordinate with the current answering service (Ruby) and gradually assume more direct call handling as training progresses.

Maintain professional, calm communication consistent with criminal defense client expectations.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Prior experience in a law firm or legal support role required.
  • Strong organizational skills with experience managing documents, deadlines, and client communications.
  • Comfortable working in case management systems (Clio preferred but training available).
  • Familiarity with e-filing portals, court-related workflows, or legal admin processes.
  • Strong written and verbal English communication (Level A–B accent).
  • Professional phone demeanor; comfortable speaking with clients in high-stress situations.
  • Detail-oriented and capable of handling confidential information.
  • Spanish-speaking is a plus, not required.

APPLICATION SOFTWARE KNOWLEDGEABLE / REQUIRED

  • Clio (or similar project management experience)
  • Audacy or similar court/case access tools (training provided)
  • Ruby (current phone intake/answering service)
  • Google Workspace / Microsoft Office
  • E-filing portals and document management tools
  • Email + online fax workflows

Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: 9 AM to 5 PM PST (flexible based on client needs)

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
