Position Overview
We are seeking a Talent Acquisition Support Specialist to streamline and enhance early‑stage recruitment workflows. This role focuses on improving candidate sourcing funnels, increasing applicant flow efficiency, and maintaining high accuracy within our ATS. The ideal candidate will support sourcing efforts, screening activities, system updates, and operational recruiting tasks to help reduce time‑to‑hire and improve the overall candidate experience as AST continues to scale.
Key Responsibilities
- Assist the Talent Acquisition team in managing early‑pipeline recruitment activities.
- Support candidate sourcing through LinkedIn, job boards, university platforms, and other channels.
- Review incoming resumes to identify qualified candidates based on job descriptions and hiring requirements.
- Conduct candidate outreach, coordinate introductory phone calls, and gather initial applicant information.
- Learn and utilize the company ATS (Greenhouse) to update profiles, track applicants, move candidates through stages, and maintain data accuracy.
- Collaborate with recruiters and hiring managers to understand priority openings and role requirements.
- Assist in drafting job descriptions and supporting role launch processes.
- Support hiring managers through the job and salary approval workflow.
- Generate weekly reports summarizing sourcing activity, applicant flow, and ATS metrics.
- Maintain confidentiality and professionalism when handling candidate and company information.
- Participate in recruitment operations projects such as building talent pools or improving ATS organization.
Qualifications
Education
Bachelor’s degree in Human Resources, Business Administration, Psychology, Communications or equivalent years of experience.
Experience
A minimum of 3-5 years of experience in a high‑volume recruiting environment, either corporate or agency.
Preferred Qualifications
- Experience working with ATS platforms such as Greenhouse, Workday, or Taleo.
- Familiarity with talent sourcing strategies for technical and non‑technical roles.
- Prior experience supporting recruitment operations or HR coordination.

- Strong interpersonal skills with the ability to collaborate effectively across cross‑functional teams.
- Excellent written and verbal communication skills.
- Meticulous attention to detail to ensure accuracy in documentation, resume reviews, and ATS updates.
- Highly organized with the ability to manage multiple tasks in a fast‑paced environment.
- Proactive, professional, and eager to learn new HR systems and processes.
- Strong sense of confidentiality and professionalism.
Technology Stack
- Familiarity with Applicant Tracking Systems (Greenhouse preferred; training provided).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Comfort with online sourcing tools including LinkedIn Recruiter, job boards, and other recruiting platforms.
- Ability to learn HRIS or recruitment‑related tools.
Physical Requirements
- Ability to work in a standard office or remote environment.
- Ability to use a computer and communication tools for extended periods.
- Ability to participate in virtual meetings and collaborate across distributed teams.
