Why you will love this opportunity as Library Manager at Civica

This role supports the operations, collections, and user services of a unique government law library dedicated to serving legal and policy stakeholders. The Library Manager plays a pivotal role in assessing and crafting policies that govern all aspects of library operations, collection development, and user services. This position also entails overseeing the library’s budget, spearheading information literacy initiatives, and ensuring that all scheduled reports—such as monthly, annual, and stocktake reports—are submitted promptly.

Duties:

  • Review and construct policies and standard operating procedures (SOPs) for library operations and management to ensure service levels & KPIs are met.
  • Manage operational budget.
  • Oversee counter Handle research (including reference services) and enquiries from management and other units.
  • Oversee and maintain collection profile.
  • Evaluate and seek approval for renewals of library subscriptions and acquisitions of new library resources.
  • Maintain weeding and acquisition policies and processes.
  • Oversee amendments of SLs, SL supplements, and Act supplements.
  • Oversee user accounts for the various online databases, eBooks and eJournals.
  • Oversee eBooks acquisition and platforms ·
  • Conduct stocktake for collections in the main collection, sub-collections and offsite location. System ·
  • Oversee and ensure all systems and software running adequately ·
  • Liaise with the database suppliers.
  • Oversee information literacy programmes.
  • Promote library’s resources and services via EDMs.
  • Organise trainings.
  • Conduct library orientations.

  • Ability to lead and oversee the day-to-day running of library operations and services, ensuring efficiency, continuity and service standards.
  • Strong commitment to delivering high-quality, responsive and user-centred library services.
  • Sound knowledge of library operations, including cataloguing, circulation, collection management and reference support.
  • Strong interpersonal and communication skills to engage, collaborate and build effective working relationships with internal and external stakeholders.
  • Good knowledge and working proficiency in the use of Library Automation System and other digital tools/systems used for library operations and reporting.
  • Strong attention to detail and accuracy in data handling, record keeping and compliance with operational procedures and standards.
  • Ability to guide, support and develop team members to ensure consistent performance and service delivery; including assessing operational issues, make sound decisions and implement practical solutions in a timely manner.
  • Openness to learning and ability to adapt to new technologies, workflows and library initiatives while driving improvements in service and operations.

Preferred skills

  • Expertise and ICT skills to manage a primarily digital library, including knowledge of available, up-to-date non-print resources.
  • Experience in specialised law library would be advantageous.
  • Proficient in word processing, spreadsheet, presentation and Internet IT skills.
  • Degree from a recognised university (Qualifications in Library/Information Sciences preferred).
