As we scale, strong revenue operations systems, clean data, and AI-ready infrastructure are critical to supporting Sales, Marketing, and Customer Success.
To support our next phase of growth, we’re hiring a Revenue Operations Systems Administrator to help maintain, operate, and evolve the systems that power our go-to-market and customer lifecycle.
The Role
We are seeking a detail-oriented, systems-minded Revenue Operations Systems Administrator to help operate, maintain, and evolve the systems that power Clearstory’s go-to-market engine.
This role will support the success of our revenue systems and processes, with HubSpot at the center and tightly integrated tools including Gong, CPQ/document automation (PandaDoc), data enrichment and orchestration platforms (ZoomInfo and Clay). You will ensure these systems work together cleanly, reliably, and at scale across our go to market teams.
You will partner closely with the Head of Revenue Operations and GTM leaders in the U.S. to maintain system health, enforce data standards, ensure process documentation and adherence, and continuously improve automation and workflows as the business grows.
This position is well-suited for someone who enjoys structured systems work, operational rigor, clear ownership, and being accountable for both system reliability and documentation quality.
What You’ll Own
Revenue Operations Systems Administration
Serve as a day-to-day owner and administrator of HubSpot CRM
Administer and support core connected revenue systems, including:
- Gong (conversation intelligence and CRM sync)
- CPQ and document automation tools such as PandaDoc
- Data enrichment and orchestration platforms such as ZoomInfo and Clay
Maintain and configure:
- Contacts, Companies, Deals, and Tickets (as applicable)
- Properties, property groups, and schemas
- Pipelines, lifecycle stages, and associations
Own system access, permissions, and seat provisioning across revenue tools
Support testing, QA, and safe deployment of system changes
Ensure systems remain stable, scalable, and easy to use as the company grows
Maintain clear, well-organized documentation covering:
- System architecture and data flows
- Key workflows and automations
- Field definitions, schemas, and naming conventions
- Change logs and release notes for system updates
Automation, Workflows & Core Processes
Build, maintain, and monitor workflows across HubSpot and connected systems to support:
- Data hygiene and normalization
- Lifecycle stage updates across Sales and Customer Success
- Routing, ownership assignment, and notifications
- Deal progression and CPQ/document workflows
Troubleshoot workflow failures, sync issues, and automation errors
Document workflows and integrations clearly, including purpose, logic, dependencies, and known edge cases
Maintain workflow documentation and change logs to support long-term scalability
Data Hygiene, Governance & Quality
Own data cleanliness, consistency, and structure across the revenue stack
Define and enforce standards for:
- Deduplication
- Required fields
- Naming conventions and formatting
Monitor and validate inbound data from:
- Web forms
- Product data integrations
- Gong, PandaDoc, ZoomInfo, Clay, and other third-party tools
Partner with data stakeholders to ensure reliable data flow between product and GTM systems
Proactively identify, investigate, and resolve data quality issues
Support territory, ownership, and account hierarchy management
Document data standards and governance rules to ensure consistent usage across teams
AI & Advanced Automation
Partner with the Head of Revenue Operations to prepare and maintain data architecture that supports AI-driven use cases
Prototype and deploy AI-assisted workflows for:
- Segmentation and enrichment
- Lead and account scoring support
- Data normalization and classification
Ensure CRM schemas, fields, and workflows are structured to support:
- AI-assisted analysis
- Automation and orchestration tools
- Future AI-enabled workflows across Sales, Marketing, and Customer Success
Document AI-assisted workflows and assumptions to ensure transparency and maintainability
Marketing, Sales & Customer Success Systems Support
Support defined marketing operations tasks in HubSpot, including:
- Building lists and segments from documented criteria
- Supporting email nurtures from approved specifications
- Managing forms and campaign tracking
Act as a systems support partner for Sales and Customer Success:
- CRM and workflow troubleshooting
- Data cleanup and field updates
- Ownership, pipeline, and territory adjustments
Reduce friction and manual work for customer-facing teams by ensuring systems behave predictably and are well-documented
Web, CMS & Tracking Support
- Support website CMS administration as it relates to GTM data capture
- Support Google Tag Manager and Google Analytics integrations
- Monitor form submissions, conversion tracking, and downstream data flow
- Collaborate on custom tracking, event instrumentation, and validation
- Ensure accurate data flow from website → HubSpot → reporting
- Document tracking implementations and data definitions
Foundational Reporting & System Monitoring
Maintain baseline HubSpot dashboards and reports
Monitor system health indicators, including:
- Data completeness
- Workflow and sync errors
- Routing and ownership accuracy
Support ad hoc data validation and operational reporting requests
Partner with RevOps leadership to ensure reporting accuracy and trust
Maintain reporting documentation and metric definitions

Within the first 6–12 months, success in this role looks like:
- HubSpot data is consistently clean, reliable, and trusted across teams
- Core workflows and automations run with minimal errors and clear documentation
- Sales, Marketing, and Customer Success experience reduced friction due to reliable systems
- Data flows between product and GTM systems are stable, monitored, and well understood
- Foundational AI-assisted workflows are live and improving operational efficiency
Who You Are
- 3+ years of hands-on experience in Revenue Operations, with a strong focus on HubSpot CRM administration, configuration, and workflows
- Deep experience working directly in HubSpot as a system administrator
- Strong attention to detail and a high bar for data accuracy and reliability
- Comfortable supporting Sales, Marketing, and Customer Success teams
- Organized, dependable, and process-driven
- Comfortable working remotely and collaborating across time zones
Nice to Haves
Experience administering and building workflows across a modern GTM tech stack, including tools such as:
- Sales engagement and conversation intelligence platforms (e.g., Gong)
- Data enrichment and orchestration tools (e.g., Clay)
- Marketing automation and lifecycle tooling
- Familiarity for CPQ tools such as PandaDoc
Familiarity with website CMS administration (e.g., Webflow, WordPress, or similar)
Exposure to AI-assisted workflows, automation, or data preparation for AI use cases
Working knowledge of SQL for data validation, analysis, or troubleshooting
Experience supporting B2B SaaS or vertical SaaS companies
Familiarity with product-led growth data and lifecycle concepts
Experience working with distributed or offshore teams
