Responsibilities
Scheduling & Administrative Coordination
- Manage scheduling, coordination, and administrative workflows supporting internal teams and client-facing activities
- Track client requests, operational updates, and internal process changes accurately
- Ensure leadership calendars and operational timelines remain organized and optimized
- Anticipate administrative needs to protect leadership bandwidth
Documentation, Accuracy & Compliance
- Maintain accurate, organized, and audit-ready documentation across multiple systems
- Verify names, dates, numbers, and records with exceptional precision
- Identify inconsistencies in data, schedules, or documentation before they become issues
- Support compliance-sensitive operational processes through careful record-keeping
- Ensure all tasks are completed thoroughly, with no loose ends
Communication & Workflow Management
- Facilitate clear communication between leadership, clients, and internal teams
- Provide updates on task progress, pending items, and operational changes
- Maintain professionalism and confidentiality across all communications
- Contribute ideas to improve administrative efficiency and workflow clarity

Required Experience & Skills
- 3+ years of experience as an Administrative Assistant, Executive Assistant, or Virtual Assistant
- Proven track record of delivering precise, accurate, and high-quality administrative work
- Exceptional attention to detail and strong working memory
- Experience with Google Workspace, Slack, CRMs, and multiple digital systems
- Strong organizational and documentation management skills
- Excellent written and verbal English communication skills
- Ability to work independently and pursue solutions when guidance is limited
- Strong understanding of confidentiality and professional conduct
