Weβre hiring a highly organized and detail-oriented Real Estate Transaction Specialist to manage the full transaction lifecycle for single-family real estate acquisitions and dispositions.
This is not a basic administrative role.
Youβll play a critical role in:

Transaction Lifecycle Management (Primary Focus)
Manage the full transaction process from executed contract through closing
Coordinate single-family acquisitions and dispositions simultaneously
Handle 30β50 active transactions without missed deadlines or operational gaps
Maintain visibility into:
- contract status
- inspections
- title updates
- financing milestones
- closing timelines
Ensure all transaction workflows remain organized and on track
Contracts & Documentation
Draft, send, and manage:
- purchase agreements
- amendments
- addenda
- closing documents
Ensure all documents are:
- accurate
- complete
- properly executed
- version-controlled
Manage e-signature workflows using:
- HelloSign
- Dropbox Sign
- similar platforms
Maintain organized and audit-ready transaction files
Timeline & Deadline Enforcement
Track and enforce:
- contingency deadlines
- inspection periods
- financing timelines
- closing dates
Maintain a zero-miss approach to transaction management
Identify risks, delays, and bottlenecks proactively
Escalate and resolve issues before they impact closings
Inspection, Title & Closing Coordination
Coordinate:
- inspections
- property access
- title workflows
- closing logistics
Work closely with title companies to resolve:
- liens
- curative items
- ownership issues
- title discrepancies
Ensure smooth and timely closings across all assigned deals
Communication & Stakeholder Management
Serve as the primary point of contact for:
- sellers
- buyers
- agents
- title companies
- internal teams
Maintain proactive daily communication and follow-ups
Provide clear and professional transaction updates
Ensure all stakeholders remain aligned throughout the process
CRM & Transaction Reporting
Maintain accurate transaction records inside CRM systems
Update:
- deal stages
- notes
- tasks
- closing statuses
in real time
Provide regular transaction status updates to leadership
Ensure clean pipeline visibility and reporting accuracy
π» Required Experience & Skills
Core Requirements
8β10 years of hands-on experience in:
- real estate transaction coordination
- single-family purchase & sale transactions
- contract-to-close transaction management
Strong familiarity with:
- wholesale real estate
- investor transactions
- acquisition workflows
Proven ability to manage:
- 30β50 concurrent transactions
- high-volume real estate pipelines
Strong experience with:
- Gmail
- Google Sheets
- Google Calendar
- CRM systems (Salesforce preferred)
- e-signature platforms
Excellent written and verbal English communication skills
Strong attention to detail and deadline management
Comfortable speaking daily with:
- sellers
- buyers
- title companies
- agents
