About the Role
We’re hiring a Travel Concierge & Operations Specialist to support a fast-paced travel and aviation operations team.
This is a hands-on, execution-heavy role where speed, precision, and client experience matter. You will be responsible for coordinating complex logistics, managing real-time requests, and delivering consistent white-glove treatment to clients at every touchpoint.
This is not a routine admin role. You need to think fast, stay organized, and operate with a zero-error mindset while maintaining a premium client experience.
What You’ll Be Responsible For
Operations & Logistics Execution
- Coordinate end-to-end travel logistics including flights, transport, accommodations, and special requests
- Ensure all operations are executed with accuracy, speed, and white-glove level attention to detail
- Track schedules, bookings, and client requirements with precision
Real-Time Request Management
- Handle live client, passenger, and internal requests in a fast-moving environment
- Manage last-minute changes while maintaining a seamless, white-glove client experience
- Prioritize multiple urgent requests without compromising service quality
Client & Concierge Support (White-Glove Treatment)
- Provide white-glove treatment to all clients, ensuring a high-touch, premium experience at all times
- Anticipate client needs and proactively deliver solutions before issues arise
- Coordinate premium services such as catering, hotels, and ground transportation
- Maintain polished, professional, and confident communication in every interaction
Vendor & Stakeholder Coordination
- Liaise with operators, vendors, and internal teams to ensure seamless delivery of services
- Ensure all partners uphold white-glove service standards aligned with client expectations
- Maintain clear, structured, and proactive communication
Problem Solving & Operational Excellence
- Resolve issues quickly while protecting the client’s experience and service quality
- Identify risks before they impact delivery
- Continuously improve workflows to support efficiency and premium service standards
