About the Company
Our client is a long-established wholesale distributor in the fine jewelry industry, supplying premium jewelry products to large retail chains and boutique stores across the United States. With decades of operational history and a growing retail footprint, the company is expanding its digital retail operations and onboarding new enterprise retail accounts.
The business operates in a fast-paced, operationally intensive environment where precision, consistency, and proactive execution are critical. Leadership is actively integrating AI tools and automation into workflows to improve operational efficiency and decision-making.
Role Overview
We are looking for an E-Commerce Operations Coordinator to own and manage the daily operational workflows behind retail vendor portals, product uploads, pricing audits, and competitive market intelligence. This role is critical in ensuring products remain live, compliant, and accurately represented across multiple retail systems and platforms.
You will spend your time monitoring vendor portals, identifying and resolving operational issues, uploading products, maintaining pricing accuracy, and preparing structured reports for leadership. This role requires someone highly detail-oriented, proactive, organized, and comfortable operating independently in a fast-moving environment.
The ideal candidate is naturally curious, highly reliable, AI-forward in their workflow, and capable of spotting issues before they become larger operational problems. Candidates who thrive here are process-oriented but adaptable, comfortable with ownership, and excited to grow long-term with the company.
Your Impact
Within your first 90 days, you will become the primary operational owner of the company’s retail portal ecosystem and help ensure products, pricing, and retailer compliance remain accurate and up to date.
You will directly support leadership decision-making through structured reporting, pricing visibility, and competitive market intelligence. Your work will reduce operational errors, improve visibility across retail systems, and strengthen the company’s relationships with major retail partners.
Success in this role means creating operational consistency, proactively preventing issues before they impact revenue, and building scalable systems and documentation that improve long-term efficiency.
Core Responsibilities
Retail Portal Monitoring & Item Upload — 40%
- Monitor retail vendor portals daily to ensure products are live, compliant, and priced correctly
- Upload new products into retail systems and manage the process end-to-end
- Identify and resolve portal issues before they impact retailer operations or orders
- Track portal notifications, alerts, and exceptions to ensure timely resolution
- Maintain detailed logs of portal activity, alerts, and completed actions
Market Intelligence & Competitive Data — 25%
- Conduct weekly competitor and retail market research across key websites
- Gather pricing, assortment, and promotional data for leadership review
- Support leadership preparation for retailer meetings through structured data pulls and research
- Monitor retailer activity, assortment shifts, and promotional changes
- Deliver clean, organized, and actionable market intelligence reports
Pricing Audits & Accuracy — 20%
- Audit pricing across retail systems and cross-reference against internal pricing lists
- Maintain accurate pricing trackers and documentation
- Flag discrepancies and prioritize issues based on business impact
- Support ongoing pricing consistency across all active retail channels
Reporting & Exception Communication — 8%
- Prepare weekly exception reports covering pricing issues, anomalies, and portal concerns
- Organize reporting in a clear and actionable format for leadership review
- Escalate operational risks and unresolved issues proactively
- Maintain consistency with existing reporting templates and structures
Internal Trackers & Operational Hygiene — 7%
- Maintain internal trackers including pricing logs, issue logs, and task trackers
- Keep documentation organized and continuously updated
- Build operational visibility and institutional knowledge across workflows
- Ensure accurate audit trails and status tracking across operational activities
Must-Haves (Required)
- 3–5 years of experience in retail operations, wholesale operations, vendor portal operations, or similar operational roles
- Hands-on experience using retail vendor portals such as DSCO, Retail Link, SPS Commerce, or similar systems
- Advanced Microsoft Excel skills including formulas, tracker building, formatting, and structured data management
- Strong written English communication skills
- Strong attention to detail with a proactive problem-solving mindset
- Experience working with pricing data, operational workflows, and structured reporting
- Comfortable working independently in fast-paced and evolving environments
- Long-term mindset with interest in growing alongside the business
- Familiarity with AI tools such as Claude, Gemini, or similar workflow-enhancement platforms
- Comfortable using Microsoft Office tools including Excel and Word
Nice-to-Haves (Preferred)
Jewelry industry experience
Wholesale-to-retail operational experience
Experience with Microsoft Dynamics 365 Business Central
Familiarity with Lanham systems or similar retail operational tools
Direct experience with DSCO workflows
Experience preparing market intelligence or competitor pricing reports
Exposure to AI-enhanced operational workflows and automation tools
