Location:
London, with at least 3 days per week in the office
Your role sits at the operational backbone of Pugpig, owning the day-to-day delivery of finance operations, commercial operations, people operations, and office management. It is a role of real breadth and genuine ownership. You’ll take responsibility for keeping these areas running smoothly, with the opportunity to shape how they work and grow the role as you grow.
You will bring structure, momentum and good judgement to the day-to-day running of Pugpig. This role touches almost every part of the company, so you’ll get a great view of how the whole business works and plenty of opportunity to learn and improve things.
Key responsibilities:
Office Management and Team Events
Run the Pugpig office, including facilities, supplies, deliveries and maintenance issues, making it a great environment for our team and our visitors
Take responsibility for company social activities, organising varied and inclusive team events, as well as assisting with customer events
Finance Ops
Own all customer invoicing
Lead credit control, following up on outstanding invoices with confidence and consistency
Manage company expenses and support payment-run processes
Act as the main in-house contact for bookkeepers and accountants, supporting them where needed. You won’t be expected to do the bookkeeping or accounting yourself
Commercial and Revenue Ops
Set up new customers and close out departing clients across all systems, ensuring nothing falls through the gaps
Maintain accurate and up-to-date customer data in PlanHat and other tools
Manage supplier forms and supplier onboarding
People Ops
Coordinate hiring logistics and own the onboarding process
Manage People administration via CharlieHR, including benefits, absence tracking, and keeping company policies current and accessible
Manage employee offboarding, including access removal, final holiday calculations and associated administration
Ensure everyone has the tools they need to do their job
Be the first point of contact for day-to-day people operations queries

Requirements
About you
You’re the kind of person who makes things happen and makes it feel easy for everyone else. You enjoy being at the centre of a busy team, moving between people, processes and practical details, and you take pride in creating a great experience for colleagues, customers, suppliers and visitors.
You’ll enjoy the variety of this role and the fact that not every day will look the same. You might be dealing with a finance query, helping a new starter get set up, sorting an office or IT issue, coordinating suppliers or organising an event. You’re comfortable getting into the detail while keeping sight of the wider picture and how the different parts of the business fit together.
You take ownership of your work and care about outcomes. You’re proactive and dependable, able to spot what needs doing, flag issues early and bring solutions rather than problems. You communicate clearly and use good judgement when priorities compete. You think things through before passing them on, making sure the relevant context, answers and next steps are clear.

You might already work in operations, project management, events, finance or people, or come from another role that has given you relevant experience.
