This Isn’t a Typical EA Role
You won’t be organizing supply closets. You’ll be the operational backbone of a CEO who runs multiple companies across the US, Latin America, and the Middle East — spanning healthcare, AI, and venture capital.
InVitro Capital is a Venture Holding with a growing portfolio of companies transforming traditional services industries with AI and Robotic solutions. The CEO you’ll support operates across multiple time zones, leads teams in the US, Egypt, Mexico, and Panama, and moves fast. You’ll manage both his professional and personal scheduling, travel, and day-to-day logistics.
The right person for this role doesn’t just execute tasks — they anticipate needs, protect the CEO’s time, and make every day run seamlessly.
This is a hybrid role based in Cairo. While there is in-office presence required, flexibility to support U.S. time zones is essential.
What You’ll Own
- Calendar management across multiple companies and time zones. You’ll build and maintain a structured, forward-looking calendar, coordinating with the CEO’s Chief of Staff daily to align priorities and resolve scheduling conflicts.
- International travel end-to-end. Flights, hotels, ground transportation, loyalty programs — across the US, Europe, and the Middle East. You’ll learn the CEO’s specific preferences quickly and execute them flawlessly every time.
- Meeting coordination. Internal and external meetings, from quick syncs to executive working sessions and client dinners. You’ll manage the rhythm, the logistics, and the follow-through.
- Communication flow. Serve as the connective layer between the CEO, his leadership teams, and external contacts. You’ll work primarily through Slack and WhatsApp in a text-first environment.
- Personal scheduling. This role covers both professional and personal logistics. You’ll manage a full picture, not just the work calendar.

- Comfortable with complexity. Multiple companies, multiple countries, multiple teams with different schedules. You thrive in this, not drown in it.
- A strong communicator who defaults to writing. You’re clear and concise over messaging. You don’t call unless the building is on fire.
- Discreet and trustworthy. You’ll have visibility into business strategy, financials, and personal matters. Confidentiality is non-negotiable.
- Proactive, not reactive. If something is falling behind or hasn’t been scheduled, you flag it before anyone asks.
Requirements
- 3+ years supporting a C-level executive, ideally a CEO or founder
- Experience managing complex, multi-timezone calendars across multiple entities
- Experience booking and managing international travel (flights, hotels, ground transportation, loyalty programs)
- Proficiency with Google Workspace, Slack, and WhatsApp
- Strong written communication skills
- Based in Cairo, Egypt and able to work in a hybrid setup
- Willingness to flex working hours to overlap with U.S. time zones when needed
