THE ROLE :

Think fast, act faster and always one step ahead? We are looking for a sharp, proactive Executive Assistant who can juggle calendars, tame to-do lists, and keep our CEO and COO on track (and sane). You will be the glue between our execs and the rest of the world - internal, external, intergalactic (kidding…maybe).

If you have got eagle-eye attention to detail, love making things run like clockwork and thrive in fast-paced environments, we want you on our side. Bonus points if you bring coffee and solutions.

KEY RESPONSIBILITIES :

  • Be the gatekeeper and time wizard - own the CEO & COO’s calendars, schedule meetings like a pro and make sure no double bookings sneak through.
  • Manage all incoming emails and messages - filter the noise, flag the important stuff and keep the CEO & COO focused on what matters.
  • Review contracts, NDAs and legal docs with a sharp eye - proof, polish and prep for approval.
  • Be the meeting MVP - prep agendas, take minutes, compile research and make presentations shine.
  • Plan travel like a logistics boss - flights, hotels, visas, itineraries.. the works.
  • Handle monthly claim reimbursements with accuracy and efficiency.
  • Manage vendor payments and keep things running smoothly.
  • Take charge of the company credit cards (yes, both of them!).
  • Assist with monthly company tax payments - no deadline slips on your watch.
  • Jump into company-wide event planning when needed - from behind the scenes to full execution.
  • Take on special projects and tasks as assigned - you’re the person the CEO & COO trust to get it done.
