Title: CPT-10215 Business Support VA
Independent Contractor – Business Support VA/Entry-Junior Level (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
The Business Support Virtual Assistant will provide essential administrative and documentation support for this company, a U.S.-based residential support program. This role focuses on preparing fillable PDF forms, maintaining organized digital records, and assisting with intake documentation for new program participants.
The ideal candidate is detail-oriented, organized, and dependable, with a strong ability to follow instructions accurately while maintaining confidentiality and professionalism at all times.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
PRIMARY RESPONSIBILITIES (Day 1 Responsibilities):
• Convert documents into fillable PDF forms using DocFly PDF Editor to streamline client intake and documentation processes.
• Organize and manage files within the designated Dropbox folder structure, ensuring documents are correctly labeled and easy to access.
• Complete confidential intake forms (approximately 20–30 forms per intake case) with accuracy and consistency.
• Perform administrative and business support tasks such as data entry, updating records, tracking documentation progress, and maintaining organized reports.
• Ensure accuracy and compliance in all file management procedures, following proper naming conventions and document handling standards.
FUTURE (TRAINABLE) RESPONSIBILITIES: (No prior experience required; training will be provided.)
• Assist in preparing and submitting nonprofit grant and donation applications.
• Conduct online research to support internal projects or organizational needs.
• Perform basic outreach or follow-up calls, once trained and approved, to support client engagement and communication.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
Must Have at Hiring:
• Proficiency in Microsoft Word.
• Experience using DocFly PDF Editor (or similar fillable PDF tools).
• Strong working knowledge of Dropbox, including folder organization, version control, and data management.
• Excellent written and verbal English communication skills.
• Exceptional attention to detail and ability to follow structured instructions accurately.
Trainable After Hiring:
• Microsoft Excel
• PDF Expert
• Google Workspace (Gmail, Docs, Sheets)
General Skills:
• Ability to maintain strict confidentiality and handle sensitive information securely.
• Highly organized, with strong time management and task prioritization skills.
• Demonstrated ability to work independently, meet deadlines, and deliver high-quality work.
Work Schedule
- Contracted Hours per Week: 15 Hours
- Scheduled Working Days: Monday through Friday
- Daily Working Time: 9AM -12PM CST
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
