Title: B-CPT-9992 Bilingual Executive Assistant / Business Support Virtual Assistant

Independent Contractor – Business Support VA/Entry-Junior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking a proactive and organized Business Support VA to assist the owner of a growing general contracting firm with administrative operations, scheduling, data input, and communication follow-ups.

The VA will handle tasks such as managing calendars, entering project data into JobTread, tracking invoices, maintaining email organization, and conducting product or vendor research.

This position is ideal for someone detail-oriented, professional, and experienced in executive support or construction-related administrative roles. Bilingual – fluent in English and Spanish – is required, as the role involves communicating with both English- and Spanish-speaking clients and vendors.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

1. Email & Calendar Management

  • Manage and organize multiple Outlook inboxes for the client and partners.

  • Prioritize, flag, and respond to emails as directed or trained.

  • Maintain an organized system for follow-ups and time-sensitive messages.

  • Schedule, reschedule, and confirm meetings, calls, and appointments.

  • Ensure all calendars are synchronized and conflicts are avoided.

2. Administrative & Executive Support

  • Handle day-to-day administrative tasks including document tracking, meeting reminders, and file organization.

  • Prepare summaries of key messages, meeting outcomes, and action items.

  • Assist in creating and maintaining digital filing systems for emails and documents.

  • Support internal coordination and client communication as directed by leadership.

  • Perform research on realtors or related contacts to support business operations.

3. Bilingual Communication & Calling

  • Communicate clearly and professionally in both English and Spanish via email, chat, or phone.

  • Make occasional outbound or follow-up calls to clients, partners, or vendors as directed.

  • Handle basic client inquiries or appointment confirmations over the phone.

  • Translate or summarize bilingual communication as needed.

4. Coordination & Reporting

  • Track priorities and provide daily updates or summaries of pending actions.

  • Maintain organized communication logs and ensure timely completion of tasks.

  • Collaborate with internal teams and executives to ensure efficient coordination.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • 2+ years of experience as an Executive Assistant, Administrative Assistant, or Business Support VA.

  • Bilingual in English and Spanish (spoken and written).

  • Excellent communication, organization, and time management skills.

  • Proficient in Microsoft Outlook (email and calendar management required).

  • Comfortable making occasional phone calls and communicating with clients or partners.

  • Highly coachable and adaptable to new processes and systems.

  • Professional, trustworthy, and capable of maintaining confidentiality.

  • Tech-savvy and comfortable working in a virtual business environment.

  • Project Management: Experience with JobTread or similar CRM/project management platforms.

  • Communication: Proficient in Gmail, WhatsApp, and comfortable using VoIP systems (training provided).

  • Office Tools: Skilled in Microsoft Office and Google Workspace applications.

  • File Management: Familiar with OneDrive, Google Drive, or equivalent cloud-based file management systems.

Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: 9 AM to 6 PM EST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
