CPT-10182 Office Manager / Accounts Receivable VA

Independent Contractor – [Business Support VA /Junior - Senior Tier Level] (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A construction company specializing in mitigation, remodels, and new builds is seeking a highly organized and experienced Office Manager / Administrative VA with strong Accounts Receivable skills. The ideal candidate must be familiar with construction processes, project workflows, and subcontractor compliance, while also being capable of managing daily administrative operations.

This role requires someone proactive, reliable, and able to maintain organized financial and project documentation while supporting the business owner and collaborating with the local bookkeeper.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Accounts Receivable (Top Priority)

  • Track, manage, and follow up on outstanding invoices.
  • Pursue overdue AR and ensure timely collection (the company is currently behind on ~$18,000 AR).
  • Maintain accurate records of payments, outstanding balances, and customer communication.
  • Coordinate with the local bookkeeper for alignment on AP/AR workflows.

Accounts Payable & Financial Admin

  • Assist in basic AP tasks (cutting checks is handled locally).
  • Assist in basic financial reconciliation depending on trust level and performance.
  • Ensure financial data is accurate and properly filed.

Construction Administrative Support

  • Build and maintain project files and job folders.
  • Create, manage, and organize digital documentation via Google Drive.
  • Ensure compliance documentation for subcontractors is updated (licenses, insurance, W-9s, etc.).
  • Vet subcontractors and maintain compliance records.
  • Support permitting tasks—prepare paperwork, fill out forms for state/local permits.

General Office Management

  • Oversee administrative workflow as an extension of the office manager role.
  • Help implement and streamline internal systems as needed.
  • Assist in communication management (text message handling, phone answering once a system is in place).
  • Coordinate with in-house CRM under development.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Strong AR experience (collection, tracking, follow-up).
  • Experience in construction admin, project coordination, or similar industry background.
  • Familiarity with construction processes such as permitting, subcontractor management, and compliance.
  • Proficiency with QuickBooks (required).
  • Strong experience with Google Workspace (Drive, Docs, Sheets).
  • Highly organized, detail-oriented, and able to manage multiple tasks.
  • Ability to work independently and maintain consistent productivity.
  • Strong communication skills (phone, email, and text management).

Nice-to-Have

  • Experience using or supporting CRM tools (company uses an in-house CRM).
  • Prior work with U.S.-based construction or mitigation companies.
  • Exposure to AP, reconciliation, and basic bookkeeping tasks.
  • Familiarity with Xactimate software and U.S. insurance

Tools & Software

  • QuickBooks
  • Google Workspace
  • In-house CRM (training provided)
  • Phone/text software (to be set up based on recommended systems)
  • Industry: Construction (Flood/Mold Mitigation, Remodels, New Builds)

Work Schedule

  • Contracted Hours per Week: 20 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: TBD (Mountain Time )

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
