Title: CPT-10326 HVAC Service Coordinator (Business Support VA) Independent Contractor – [Entry/Junior Level] (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

Client is seeking a detail-oriented and proactive HVAC Service Coordinator VA to support day-to-day service operations for a commercial HVAC services company. This role focuses on technician coordination, scheduling, administrative support, and accurate documentation within HVAC management tools such as Razor Sync and QuickBooks.

The ideal VA is organized, responsive, and able to communicate in real time with technicians and customers to ensure smooth field operations.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

  • Technician & Customer Support

Assist HVAC service technicians in real time during daily operations.

Provide updates, relay customer requests, and communicate schedule changes promptly.

Collect customer payments and maintain accurate transaction records.

  • Scheduling & Coordination

Conduct daily and weekly route scheduling for HVAC service technicians.

Manage service appointments, dispatch requests, and ensure efficient calendar organization.

  • Data Entry & Administrative Tasks

Enter new customer information into RazorSync and Estimate Rocket for onboarding.

Maintain records of service requests, payments, technician notes, and customer updates.

Take detailed notes during meetings or service discussions for documentation.

Validate technician payroll entries using QuickBooks.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Experience in HVAC service coordination or a related field preferred (not required).
  • Strong communication skills for real-time technician and customer interaction.
  • Highly organized and able to manage multiple tasks in a fast-paced environment.
  • Accuracy in data entry, documentation, and scheduling tasks.
  • Basic proficiency with scheduling platforms, CRM tools, and administrative software.
  • Very detail-oriented.
  • ACCENT PREFERENCE: Level A–C (Neutral/clear English comprehension & communication)

Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: 6:00 AM - 3:00 PM CST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
