People Operations Coordinator Role
We are looking for a highly organized and proactive People Operations Coordinator, based out of our Munich Office, reporting into the Senior People Operations Specialist. This role will focus on the support of our DACH employees, with wider exposure to the EMEA and Global HR function, and will be central to ensuring smooth day-to-day HR operations while also contributing to the scaling and continuous improvement of our processes. The ideal candidate will thrive in a fast-paced environment, balancing operational delivery with opportunities to streamline workflows and support ad hoc projects.
Key Responsibilities Include:
· End to End Employee Lifecycle Administration: from onboarding, benefit and leave management and offboarding, ensuring local regulatory compliance and adherence to company policies.
· HR & Regional Admin Support: Process invoices, liaise with external vendors (pension, healthcare, benefits etc.), and support internal teams with benefit administration including employee education.
· Document Management: Draft and issue employee documentation (contracts, role changes, probation confirmations, parental leave letters, etc.) and oversee signature workflows and accurate record keeping. Create standardized templates to streamline processes and ensure consistency.
· Employee Support: Serve as the first point of contact for day-to-day employee queries, escalating where appropriate.
· Regional Audit Management: Acting as liaison for local audit requirements, gathering data from wider teams and collating responses to advisor or auditor as required by necessary deadlines. Taking ownership of the process and ensuring recommended improvements are followed up on.
· Regional Visa Management: Working with external advisor to support application and renewal of visa’s
· MyHR HRIS Data Management: Regularly update and maintain employee records in the HR system, ensuring data accuracy and compliance.
· Record Keeping: Responsible for any HR documentation received to the Munich Office is appropriately processed. Ensuring digital, and where required physical, personnel files are up to date and compliant with local regulations.
· Process Improvement & Projects: Partner with Regional and Global People Ops teams to streamline processes, implement scalable solutions, and contribute to ad hoc HR projects that enhance the employee experience and operational efficiency.
Skills & Experience:
· 1-3 years experience in a People Operations/HR Administrative role
· Strong organizational skills with exceptional attention to detail
· Ability to handle confidential information with discretion
· Clear and professional communication skills, both written and verbal, in English & German.
· Comfortable working in a scaling environment with evolving processes
