About the role

    As a Recruitment Coordinator, you’ll be the operational heartbeat of our hiring process. You’ll manage scheduling across time zones, keep data crisp in our ATS, and ensure every candidate and interviewer has exactly what they need, when they need it. You’ll collaborate closely with recruiters and hiring managers to forecast demand, balance interviewer load, and close full interview loops efficiently.

    Success in this role looks like fast, accurate scheduling; smooth communication during changes; and a consistently positive candidate experience measured through surveys and feedback. You’ll also spot process gaps early and help us improve tools, templates, and SLAs as we scale.

Main tasks and responsibilities:

  • Coordinating end-to-end interview scheduling across all formats and time zones, aligning candidate and interviewer availability, managing reschedules, and keeping all parties informed in real time.
  • Owning all interview logistics, including calendar invites, video links, room bookings, visitor access, and candidate prep materials; ensure accessibility needs are documented and met.
  • Maintaining accurate, up-to-date records in the ATS, stage updates, and pipeline hygiene.
  • Supporting candidate communications throughout the process, including preparation guidance and travel coordination where applicable.
  • Partnering with recruiters and hiring managers to manage interviewer load, optimise panel composition, and report on operational metrics to drive continuous improvement.
  • Identifying and surfacing opportunities to enhance candidate experience and drive scheduling efficiency through process improvements.

About you:

  • You are highly organised, proactive, and motivated to learn, with the ability to manage multiple tasks and priorities simultaneously. Previous experience in scheduling, coordination, administration, customer support, or similar roles is a plus, but not required.
  • You are comfortable using digital tools such as calendars, video platforms, and collaborative software, and you’re quick to learn new systems. Exposure to ATS or CRM platforms is a bonus, not a requirement.
  • You communicate clearly and professionally in writing, pay close attention to detail, and care about delivering a great experience to others.
  • You stay calm and adaptable when priorities change, and you enjoy collaborating with different people and teams across various time zones and backgrounds.
  • You are comfortable working with structured processes, handling data accurately, and taking responsibility for quality, compliance, and confidentiality.
