Talent Operations Specialist

🇺🇸 United States - Remote
👥 Human Resources🔵 Mid-level

Job description

Build the Future with Us — EquipmentShare is Hiring a Talent Operations Specialist (Temporary)

At EquipmentShare, we’re not just filling a role — we’re assembling the best team on the planet to build something that’s never been built before. We’re on a mission to transform an industry that’s been stuck in the past by empowering contractors and communities through innovative technology, real-time support, and a team that truly cares.

We’re hiring a temporary Talent Operations Specialist to support our Corporate Headquarters in Columbia, MO, with the option to work fully remote.

We are seeking a highly detail-oriented temporary, full-time team member to support a Talent Acquisition Operations project focused on cleaning up duplicate candidate profiles in our Applicant Tracking System (ATS). This is a temporary project-based role expected to last approximately six (6) months.

This work will directly improve recruiter efficiency, data integrity, and the overall candidate experience.

The individual in this role will review a large dataset (approximately 40,000 entries) to identify duplicate candidate profiles and accurately merge them within the ATS. Because profile merges are permanent and irreversible, this role requires exceptional attention to detail, sound judgment, and consistency.

Primary Responsibilities

  • Review a spreadsheet containing candidate records line by line to identify potential duplicate profiles.
  • Investigate candidate profiles directly within the ATS to determine whether multiple applications belong to the same individual.
  • Compare resumes, names, email addresses, phone numbers, and other contact details to confirm matches.
  • Make informed decisions on whether profiles should be merged, recognizing that candidates may provide different or incomplete information across applications.
  • Accurately merge confirmed duplicate profiles in the ATS following defined guidelines (profile merges are irreversible).
  • Maintain a very high level of accuracy and documentation throughout the process.
  • Flag uncertain cases or potential risks for review rather than making assumptions or proceeding without confidence.

Why EquipmentShare?

Because we do things differently — and we think you’ll feel it from day one. We’re a people-first company powered by cutting-edge technology. That means our proprietary T3 platform doesn’t just run our business — it also makes your job easier, safer, and more connected. Whether you’re behind the wheel, under the hood, leading a branch, or closing deals — tech supports you, and you drive us forward.

We’re a team of problem-solvers, go-getters, and builders. And we’re looking for teammates who take pride in doing meaningful work and want to be part of building something special.

Perks & Benefits

  • Competitive compensation
  • Gym membership stipend + wellness programs (earn PTO and prizes!)
  • Company events, food truck nights, and monthly team dinners
  • 16 hours of paid volunteer time per year — give back to the community you call home
  • Career advancement, leadership training, and professional development opportunities

About You

You want to be part of a team that’s not just changing an industry for the sake of change — we’re transforming it to make it safer, more secure, and more productive. You bring grit, heart, and humility to your work, and you’re excited about the opportunity to grow within a fast-paced, mission-driven environment.

We’re looking for people who:

  • See challenges as opportunities
  • Embrace change and continuous improvement
  • Bring energy, effort, and optimism every day

Skills & Qualifications

  • Proficiency with spreadsheets (Excel or Google Sheets), including reviewing and tracking large datasets.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and investigative skills.
  • Ability to work independently and stay focused on repetitive, high-volume tasks.
  • Comfort handling confidential, sensitive data with discretion and care.
  • Reliable judgment and willingness to pause, escalate, or seek clarification when information is unclear.
  • Ability to follow detailed process documentation and decision rules.
  • Strong time management and self-organization skills.

Education and Experience

  • Experience reviewing and reconciling inconsistent or incomplete data
  • Experience working with an Applicant Tracking System (ATS) preferred
  • Background in recruiting, HR, or Talent Acquisition preferred
  • At least 2 years professional experience
  • High school diploma or equivalent, required

Physical Requirements

  • Must be able to sit for prolonged periods at a desk and work on a computer
