Our client is a boutique property management firm focused on small condominium associations, typically buildings with 6–15 units, primarily in Hudson and Essex County, New Jersey. Their approach is intentionally different from traditional management companies that focus on scale and volume. Instead, they prioritize service, transparency, and operational discipline for a smaller portfolio of buildings. This allows them to maintain closer relationships with boards and owners while ensuring that the core responsibilities of property management such as financial oversight, maintenance coordination, and long-term planning are handled thoughtfully and consistently.
Though they work with smaller associations and their team members are exposed to every part of the management process, they do silo operations to keep employees from being overwhelmed.
Overall purpose and responsibilities of the role:
As a Bookkeeper, you will be responsible for managing end-to-end financial reporting for a portfolio of properties, including maintaining accurate financial records, preparing budgets, analysing financial statements, and performing bank reconciliations. You will handle daily bookkeeping tasks such as entering bills, recording transactions, and ensuring data accuracy and compliance, while using Buildium and Excel to generate reports and support ongoing financial analysis.
Duties and Responsibilities:
Managing financial records.
Preparing financial statements and ensuring compliance with accounting standards.
Managing Buildium to manage the financial accounting of our properties.
Prepare Budgets.
Analyse Financial Statements.
Reconcile bank accounts.
Obtain and Enter Bills.
Record Transactions.
Start in handling 30 properties/accounts.
Working with the Finance and Admin team with a manager present in the same space handling oversight.
CPA certification preferred.
3 to 5 years of bookkeeping experience (ideally not their first job).
Strong understanding of accounting principles (local accounting experience acceptable).
Familiarity with accounting terminology and standard.
Experience using Buildium or similar accounting systems/software.
Advanced Excel skills with strong analytical ability and attention to detail.
Excellent communication skills and ability to work independently as a self-starter.
Note: The role doesn’t require US accounting experience specifically, as long as the candidate is familiar with the necessary terminology and concepts.
Highly Advantageous but not required:
- Experience with homeowners’ associations and condo management.
- Property management experience.
