Overall purpose and responsibilities of the role:
The role of a Project Manager Associate is responsible for supporting project management activities and ensuring the successful completion of projects. PMA are often required to be adaptable, organized, and effective communicators to contribute to the success of the projects they are involved in.
Duties and Responsibilities:
Project Planning:
- Assist in the development of project plans and timelines.
- Contribute to the creation of project schedules and milestones.
- Set up projects in internal systems, including entering project estimates and validating financial data.
- Oversee scheduling complexity for multi-participant projects, aligning client and coach calendars.
Documentation:
- Maintain project documentation, including project plans, status reports, and meeting minutes.
- Ensure that project documentation is organized and accessible.
- Record and track project processes in internal platforms (NetSuite, Jira, Confluence, Notion) and flag missing information to Finance or Sales.
Communication:
- Facilitate communication between project team members.
- Communicate project updates to stakeholders.
- Serve as client-facing liaison during project execution, coordinating with client-side project assistants or managers.
- Escalate issues or inconsistencies identified in project data to relevant teams.
Coordination:
- Coordinate project activities and ensure that tasks are completed on time.
- Assist in the coordination of project meetings, workshops, and other events.
- Coordinate with global teams across APAC, EMEA, and North America for project alignment.
Data Management:
- Collect, organize, and analyze project data.
- Maintain project databases and repositories.
- Monitor project margins and financial estimates to ensure accuracy and flag discrepancies.
Team Support:
- Support the project team in day-to-day activities.
- Collaborate with team members to address challenges and solve problems.
- Support onboarding and coordination of leadership development programs, including participant and coach matching.
Quality Assurance:
- Ensure that project deliverables meet quality standards.
- Conduct quality reviews and audits as needed.
Risk Management:
- Identify and assess project risks.
- Contribute to the development of risk mitigation strategies.
Client and Stakeholder Relations:
- Interact with clients, customers, and other stakeholders.
- Respond to inquiries and provide updates on project progress.
- Coordinate with clients and internal teams to manage complex project logistics and scheduling.
Problem Solving:
- Collaborate with the project team to address issues and obstacles.
- Propose and implement solutions to keep the project on track.
- Ensure integration and communication of APAC-based projects with global leadership teams.
The PMA reports to the Managing Director of the region.
The PMA also works closely with the Channel Team.
Bachelor’s degree in a relevant field such as business administration, project management, engineering, or a related discipline.
Previous experience in project management or a related role is preferred. Experience can demonstrate an understanding of project management principles and practices.
Experience working in a global, remote team environment across multiple time zones.
Communication: Strong verbal and written communication skills are essential. Project Manager Associates need to effectively communicate with team members, stakeholders, and clients. High level of professionalism in client communication, particularly in written correspondence.
Organizational Skills: Excellent organizational skills are crucial for managing project documentation, schedules, and resources efficiently. Strong attention to detail in reviewing project and financial data.
Time Management: The ability to prioritize tasks, manage deadlines, and ensure that the project stays on schedule is vital. Flexibility in scheduling and ability to attend occasional meetings outside regular hours.
Problem-Solving: Project Manager Associates should be adept at identifying issues, finding solutions, and making decisions to keep the project on track.
Teamwork: Collaborative skills are important for working with diverse teams and ensuring effective communication and cooperation. Strong coordination skills in managing multiple stakeholders and schedules simultaneously.
Leadership: While not necessarily in a formal leadership role, Project Manager Associates should be able to lead by example, motivate team members, and contribute to a positive team environment.
Adaptability: The ability to adapt to changes in project scope, timelines, and priorities is crucial in dynamic project environments.
Risk Management: An understanding of risk management principles and the ability to identify, assess, and mitigate risks is important for successful project outcomes.
Technical Proficiency: Familiarity with project management tools and software is often required. This may include tools for scheduling, budgeting, and collaboration. Experience with Jira or similar project management tools (e.g., Asana, Confluence). Familiarity with NetSuite for financial/project tracking.
Client Management: Skills in managing client expectations, addressing client needs, and maintaining positive client relationships may be important, depending on the nature of the projects. Basic understanding of financial metrics such as project margins and estimates.
