Reporting to the Vice President, Production Operations, you will have  meaningful exposure to large-scale client initiatives, internal strategic projects, and marquee events.

This is an ideal role for someone highly organized, proactive, and eager to learn how a complex media organization operates, while building a strong foundation in project management and creative operations.

Key Responsibilities:

  • Provide day-to-day administrative and operational support to the VP, Production Operations including scheduling and calendar management.
  • Serve as a central hub for communication, helping disseminate information, meeting notes, and next steps across multiple working teams to help ensure projects and teams stay organized, informed, and on track.
  • Support senior leaders and project teams by managing calendars, coordinating meetings, responding quickly to scheduling needs, and preparing materials for presentations and internal reviews.
  • Create, assemble, and maintain decks and documents used to communicate creative development, project status, and strategic updates to stakeholders, including senior executives.
  • Track project status, timelines, and milestones for assigned projects, and be prepared to communicate updates clearly and accurately.
  • Manage the intake, organization, and distribution of materials and creative assets, both incoming and outgoing.
  • Synthesize large volumes of information into clear summaries, action items, and next steps.
  • Assist with ideation, organization, and execution of assigned client and internal projects, ranging from small creative requests to large-scale event support.

Qualifications

  • Batchelor’s degree in marketing, communications, or related field.
  • 1+ years of experience supporting projects, teams, or executives in a creative, marketing, production, or fast-paced professional environment.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced, ever-changing environment.
  • Excellent written and verbal communication skills, with a strong sense of urgency and clarity in all communications.
  • Ability to understand big-picture goals and break them down into actionable tasks.
  • Strong relationship-building skills, with the ability to work effectively across a wide range of teams, disciplines, and seniority levels.
  • Proactive, self-motivated, and eager to take ownership of responsibilities and follow through consistently. Curious, adaptable, and open to feedback, with a desire to learn and grow within a creative operations environment. Positive, team-oriented attitude and willingness to pitch in wherever needed.
  • Willingness to work evenings and weekends as needed, particularly around key events and deadlines.

Salary range: $55,000 - $58,000
