Job Description
As an Executive Assistant at SEEK, you’ll be part of a fast-paced and supportive environment where you can make a real difference. You’ll work on complex challenges that have a direct impact on people’s lives, helping us evolve our business and reach new heights.
As a dynamic and driven Executive Assistant (EA), you’ll work with little direction to support the Group Executive, Commercial, ensuring they have what they need to seamlessly serve the needs of our clients and meet their internal commitments and goals. You will anticipate the needs of your Executive and look ahead to prevent problems before others know they even exist! The position involves heavy scheduling (and rescheduling) of internal and client meetings, booking (and unbooking) travel, managing case team logistics, keeping track of time and expenses, and keeping up with the fast pace of our Tech Team.
We operate in a hybrid model, meaning you’ll be in the office as your Executive/Team requires you and have flexibility to work remotely (if you choose) for the other part of the week. EAs help shape our culture by actively participating in office life and collaborating across functions to help fellow service team members. Our philosophy is to grow by growing others, and you will serve as a role model to more junior members of the Assistants Team. We work hard together, and we go out of our way to support each other – we want everyone to be successful, individually and as a team.
We won’t define a career path for you, but some EAs we’ve hired in this role have gone on to have long and successful careers as Senior Executive Assistants. Others have moved into one of our many other areas; some have managed teams or rotated through a number of other functions. Your career at SEEK will sit at the intersection of your skills and ambitions and the needs of our business. It will only be limited by your investment.
Responsibilities
- Being a proactive thought partner and managing your Exec/Director’s time in a fast-paced, high volume, and ever-changing client service environment:
- Own and drive calendar/complex meeting scheduling
- Coordinating end-to-end travel needs, including booking all travel and hotels, directions, commuting time and ground transportation
- Processing expenses on a timely basis
- Supporting administrative aspects of Exec/Directors internal commitments: research & development, SEEK leadership committees, recruiting, etc.
- Building effective working relationships (remotely) with key stakeholders. You’re extremely people-focused with a certain ‘joie de vivre’
- Understanding Exec/Directors priorities and exercising sound judgment to make appropriate trade-offs
- Facilitating the scheduling process with clients and their assistants, communicating with friendly professionalism and high attention to detail; building client relationships
- Providing back-up support to other assistant team members
- Obtaining and sharing information with wider team as needed; helping team members navigate internal resources
- Proactively leaning in to support high leverage activities for Exec/Leaders (this will vary by need):
- Assisting with account planning and client relationship management
- Conducting research and gathering information
- Assisting with the creation and preparation of client team materials – slides, proposals, onboarding decks, including proofreading of comms
- Additional items that you (or the Exec/Directors) feel may be helpful – be creative and think outside the box
- Acting as a thought partner and trusted advisor to Exec/Directors, their teams and others at SEEK
