Job Description
We are hiring a high-caliber Executive Assistant to work directly with a Principal in a fast-growing real estate investment and development company.
This is not a traditional administrative role. It is designed as a stepping stone into an Operations Associate / Operations Manager path, with direct exposure to acquisitions, capital raising, construction, leasing, and asset management.
You will play a key role in building structure, improving execution, and helping scale the business.
Key Responsibilities
Principal Productivity & Execution
- Run weekly time reviews and generate actionable summaries
- Track performance against an “ideal day” structure and identify gaps
- Review dashboards (Asana, time tracking) to surface priorities
- Send daily priority updates (tasks, decisions, follow-ups)
- Apply clear frameworks for prioritization, delegation, and scheduling
Inbox, Calendar & Follow-Ups
- Manage calendar, meetings, and confirmations
- Maintain daily inbox organization (prioritize, delegate, clean)
- Track follow-ups and ensure nothing falls through the cracks
- Maintain and act on “waiting on others” lists
Operations & Business Support
- Keep Google Drive and internal documentation structured and updated
- Maintain CRM hygiene (HubSpot) and investor follow-ups
- Support reporting, KPI tracking, and dashboard updates
- Assist with vendor coordination and project tracking
- Support property management workflows and leasing coordination
Systems & Process Optimization
- Build and refine SOPs across operations (leasing, investor communication, onboarding, etc.)
- Maintain clear and usable documentation (Google Docs, Loom, checklists)
- Improve cross-team workflows (acquisitions → rehab → lease-up)
- Identify and implement simple system improvements and integrations
Personal Support (Light)
Track and review personal budget and expenses
Support scheduling of personal and family activities
5–7 years of experience in EA, Operations, Chief of Staff, or similar roles
Experience in real estate, PropTech, FinTech, or adjacent industries is highly preferred
Proven experience building or improving systems and SOPs
Strong ownership mindset with the ability to drive execution independently
Excellent organization and attention to detail
Strong written communication and documentation skills
Proficiency with Google Workspace, Asana (or similar), and CRMs (HubSpot preferred)
Comfortable blending business and personal executive support
Availability during Pacific / Mountain Time working hours
